    Administrative and Procurement Executive

    Job Description

    • Responsible for maintaining constant awareness of the physical condition of the fixed assets of the company, furniture, fittings and equipment and where appropriate repairing/reporting defects or requisitioning work for repair.
    • Facilities Sanitation - Ensure facility is always clean, supervise the sanitation attendants, manage work schedules and roster of all sanitation attendants.
    • Regular supervision of walk through and pickup of common areas. Responsible for informing staff of ongoing repairs/ maintenance on the facility.
    • Store keeping including the disbursement of stationery and provisions. Procuring all office supplies and materials. Ensure all procurement requests are budgeted for.
    • Process quarterly supply request and provide procurement reports. Submit comprehensive reports on Market Surveys.
    • Maintain a price list quarterly across all items and services procured.
    • Estimate and establish cost parameters and budgets for purchases. Create and maintain good relationships with vendors/suppliers.
    • Maintain records of purchases, pricing, and other important data Review and analyze all vendors/suppliers, supply, and price options Negotiate favorable terms, volume discounts, and long-term contracts with suppliers for the procurement of goods and services.
    • Carry out market price surveys at least once every quarter. Performs other duties as assigned by the Branch Manager and Managing Director.

    Requirements

    • Candidates should possess Bachelor's Degrees or equivalent with 2 - 4 years relevant work experience.

    Admin Manager

    Job Description

    • He/she will be expected to: Co-ordinate the day-to-day general administrative activities. Asset management supervision.
    • Store management supervision.
    • Facility management supervision Security and IT management supervision Ensure compliance with regulatory and statutory governmental bodies.
    • Supervising administrative staff and dividing responsibilities to ensure optimal performance. Maintain/ supervise inventory of assets and keys.
    • Meticulous and detailed in agreements and projects.
    • Ensure the development of procurement documentation, including acquisition plan, procurement schedule, request for offers, evaluation plan, negotiation plan and purchase recommendation.
    • Ensure that Administrative team follows company’s quality and service standards. Have firm and result driven supervisory skills Have resilient and vociferous negotiation skills.
    • Ensure that all material resources are available when needed and are effectively utilized.
    • Strong written and verbal communication skills.
    • Strong critical thinking skills.
    • Strong numerate skills.
    • Strong inventory management skills.
    • Organized and accurate recordkeeping skills.
