    Payroll Officer

    Responsibilities:

    Financial

    • Execute salary administration activities including preparation of annual budget of Salary Unit, reviewing salaries journal vouchers, monitoring amortizations and accrual of salaries and reconciliations.
    • Keep accurate and up to date records of all payrolls related payments made to statutory authorities.

    Internal

    Payroll Processing

    • Run the payroll software ensuring accuracy and completeness of data.
    • Undertake payroll processing and prompt disbursement of salaries for national and expatriate staff.
    • Coordinate the preparation of year-end tax forms (Form A) for both national and expatriate staff and file tax returns in compliance with the guidelines of the statutory authorities.
    • Process and obtain tax clearance certificates for all national and expatriate staff.
    • Facilitate the allocation of payroll costs to the relevant budget heads and general ledgers.
    • Prompt reconciliation of payroll general ledgers and bank accounts.
    • Monitor prompt submission of payroll related inputs and review same for accuracy in terms of claims, allowances, tax relief and deductions.
    • Ensure prompt booking and reconciliation of all inter-company payroll transactions involving national and expatriate staff.

    Audit

    • Administer statutory audit (concerning PAYE, ITF, Pensions, NSITF Employee Compensation Scheme (ECS) and NHF) process and respond promptly to payroll related queries raised by tax authorities and other regulatory bodies, preparing PAYE audit support data for external auditor’s use.
    • Participate in internal and external audits- Make available relevant data and provide responses to audit queries.
    • Respond to audit queries within the time frame specified by the audit team.

    Admin/Filing/ Reporting

    • Prepare relevant annual pension remittance reports for filing with the National Pension Commission (PENCOM).
    • Prepare and file monthly, quarterly and annual returns on all company employees with NSITF, ITF, Tax Authorities & FMBN/NHF.
    • Coordinate the processing, remittance, reconciliation and reporting of all payroll related statutory liabilities (PAYE, NHF), ensuring company’s compliance with all payroll related tax laws and regulations.
    • Prepare monthly/ad-hoc payroll reports for management’s decision support.

    Customer

    · Ensure value is created when responding to enquiries regarding budget procedures and information from customers

    • Register new COMPANY staff with State and Federal Board of Inland Revenue (SBIR, FIRS) and other regulatory agencies to avert penalty that may arise.
    • Provide advice and explanation to staff with payroll related statutory deductions
    • Coordination of relevant payroll inputs

    · Provide answers to all payroll related queries

    • Continuously research for innovative ways of improving the reconciliation process and provides prompt reconciliation statements
    • Prompt identification and impact analysis of payroll related laws and regulations guiding statutory deductions
    • Continuous improvements on processes and procedures

    QUALIFICATIONS REQUIRED:

    • Bachelor’s degree in accounting, Finance, Business Administration, or a related field.
    • Minimum of 3 years of experience in payroll processing or a related role.
    • Strong understanding of payroll practices, laws, and regulations.
    • Proficiency in payroll software and Microsoft Office Suite (Excel, Word, Outlook).
    • Excellent attention to detail and accuracy in data handling and processing.
    • Strong organizational and time management skills with the ability to meet deadlines.
    • Excellent communication and interpersonal skills.
    • Ability to handle confidential information with discretion and professionalism.

    REQUIRED COMPETENCIES:

    • Excellent analytical and problem-solving skills.
    • Proactive and detail-oriented with a strong sense of accountability.
    • Ability to work independently and as part of a team.
    • Strong customer service skills in handling employee inquiries and issues.
    • Proficiency in using payroll and accounting software.

    GENERAL WORKING CONDITIONS:

    • Normal working conditions in an office environment.
    • Flexibility to adapt to changing priorities and deadlines.
    • May require occasional overtime during peak payroll periods.
