    Admin & Facility Manager

    Job Description

    • We are looking to fill key positions and is looking for strategic thinkers, self-motivated individuals, and creative individuals to join their team.

    Job Summary

    • The Team Captain Administration is responsible for ensuring an efficient yet effective running of all administrative support activities necessary to keep the Company efficient.
    • They will be responsible for managing procurement, storage/management, usage and maintenance of the Company's assets and material resources. They also lead the team that handles these assets and resources.

    Role Personality:

    • The ideal candidate thinks in squares and likes things detailed and organized. They are comfortable with numbers, and have no problem working with complicated data.
    • They are patient with people but are assertive when necessary. The role seems to fit an introverted natured person who is happy carrying out repetitive routine tasks but also enjoys moments of creativity and innovation after periods of introspection.

    Key Responsibilities

    Administration:

    • Supervising the day-to-day operations of the administrative department and staff members.
    • Hiring, training, and evaluating employees and taking corrective action when necessary.
    • Developing, reviewing, and improving administrative systems, policies, and procedures.
    • Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.
    • Working with the accounting and management teams to set budgets, monitor spending, and process payroll and other expenses.
    • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.
    • Collecting, organizing, and storing information using computers and filing systems.
    • Overseeing special projects and tracking progress towards company goals.
    • Building and expanding on skills by engaging in educational opportunities.

    Facility Management:

    • Plan and coordinate all installations (telecommunications, AC, electricity etc.) and refurbishments
    • Manage the upkeep of equipment and supplies to meet health and safety standards
    • Inspect buildings’ structures to determine the need for repairs or renovations
    • Review utilities (Electric bill/Diesel & fuel etc.) consumption and strive to minimize costs
    • Supervise all facilities staff (securities, drivers, cleaners etc.) and external contractors
    • Allocate office space according to needs
    • Handle insurance plans and service contracts
    • Keep financial and non-financial records
    • Perform analysis and forecasting

    Key Performance Indicator (KPI):

    • Reduce wastage due to inefficient management of resources
    • Create systems to ensure efficient management of office administration cost
    • Create processes and procedures for running office administration
    • Develop an adequate reporting system necessary for making informed business decisions
    • Develop a tracking system to monitor company assets (vehicle/materials etc.)

    Reporting:

    • Chain of command: Directly reports to the CEO
    • Span of control: Manages the following team members
      • Drivers
      • Security outfit
      • Cleaners
      • Admin Executive
      • Office assistant

    Specifications

    • First Degree certificate in any business-related field or enough experience to outweigh a business degree
    • 3-5 years with minimum 2 years in a leadership position
    • Certifications in administration is an added advantage.

    • Excellent oral and written communication
    • Thinks strategically
    • Tech savvy and tech enthusiasm is CRITICAL
    • Ability to use sage/Airtable etc. is important.

    Monthly Salary: N200,000 and above (+ statutory benefits).
