    Administrative Officer

    We are looking for an Administrative Officer to join our team and support our daily office procedures. The successful Administrative Officer will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports, expenses and office budgets, and organizing company records. If you have previous experience as an Office Administrator or similar administrative role, we would like to meet you.

    KEY RESPONSIBILITIES

    • Greeting and directing visitors, answering inquiries, from clients and employees, and handling complaints in a courteous, professional manner
    • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times
    • Occasionally traveling off-site to deliver reports or files to Clients.
    • Ensuring the confidentiality and security of files and filing systems
    • Coordinating schedules, arranging meetings, distributing memos and reports, and ensuring that everyone is kept current with necessary company news and information
    • Operating copy equipment, fax machines, printers, or other equipment necessary
    • Managing office supplies stock and placing orders
    • Preparing regular financial and administrative reports; Update office policies as needed
    • Administration of company databases: Maintain and update company databases
    • Manage office supplies stock and place orders; Prepare regular reports on expenses and office budgets
    • Organize a filing system for important and confidential company documents
    • Maintain a company calendar and schedule appointments; Book meeting rooms as required
    • Distribute and store correspondence (e.g. letters, emails, and packages)
    • Prepare reports and presentations with statistical data, as assigned
    • Arrange travel and accommodations; Schedule in-house and external events

    REQUIREMENTS AND SKILLS

    • Bachelor’s Degree/HND Administration or a related field. Additional certification in Office Administration is a plus
    • At least 3 years of proven work experience as an Administrative Officer, Administrator, or similar role
    • Solid knowledge of office procedures
    • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
    • Experience with office equipment (e.g. printers, fax machines, etc.)
    • Strong organization skills with a problem-solving attitude
    • Excellent written and verbal communication skills
    • Attention to detail
    • Strong multitasking skills with the ability to prioritize tasks
    • Problem-solving skills with a keen eye for details
    • Exceptional time-management and organizational skills
    • Strong verbal as well as written communication skills
    • Must possess a positive attitude to work.
