    Chief Operating Officer

    DEPARTMENT          :   ADMINISTRATION / OPERATIONS & BUSINESS                 DEVELOPMENT

    REPORT TO            :   PROJECT COORDINATOR

    OBJECTIVES

    Under the guidance of the Project Coordinator within the purview of International Masters Security Systems Ltd Vision and Mission Statement, endeavor to provide the highest standard product, presentation and security to our clients, while working as a cohesive team dedicated to the needs of our clients in a professional, consistent and predictable manner.

    KEY RESULT AREAS OF RESPONSIBILITY

    Strategy, Vision and Leadership

    • Advise the Project Coordinator and other key members of senior management on financial planning, budgeting, cash flow, investment priorities, and policy matters.
    • Serve as the management liaison to the board and audit committee; effectively communicate and present critical financial matters at select board of directors and committee meetings.
    • Contribute to the development of IMSS Ltd strategic goals and objectives as well as the overall management of the organization.
    • Maintain continuous lines of communication, keeping the Project Coordinator informed of all critical issues.
    • Represent the organization externally, as necessary, particularly in business negotiations.

    Team Development/Leadership

    • Oversee, direct, and organize the work of the finance and operations teams.
    • Promote a culture of high performance and continuous improvement that values learning and a commitment to quality.
    • Ensure staff members receive timely and appropriate training and development.
    • Establish and monitor staff performance and development goals, assign accountabilities, set objectives, establish priorities, conduct annual performance appraisals, and administer salary adjustments.
    • Mentor and develop staff using a supportive and collaborative approach: assign accountabilities; set objectives; establish priorities; and monitor and evaluate results.

    Operations

    • Upgrade and implement an appropriate system of policies, internal controls, accounting standards, and procedures.
    • Plan, coordinate, and execute the annual budget process. 
    • Ensure that IMSS Ltd is adhering to the strategic plan, delivering status reports to the board.
    • Provide analytical support to IMSS Ltd.’s internal management team including development of internal management reporting capabilities.
    • To manage and provide effective leadership to the security team and ensure that resources are appropriately and efficiently allocated to key areas of work and that priorities are always covered adequately
    • To maintain the Security Operations Manual up to date for use by all on site security personnel to cover duties, individual instructions for each post;
    • Keeping physical security measures under constant review to ensure they are adequate to meet current threats to business.
    • Act as focal point for any investigations involving security; to prepare reports and note for follow up action.

    Business Development

    • Prospect for potential new clients and turn this into increased business.
    • Cold call as appropriate within your market or geographic area to ensure a robust pipeline of opportunities. Meet potential clients by growing, maintaining, and leveraging our network.
    • Identify potential clients, and the decision makers within the client organizations.
    • Research and build relationships with more clients.
    • Set up meetings between client decision makers and company’s practice leaders/Principals.
    • Plan approaches and pitches.Work with team to develop proposals that speak to the client’s needs, concerns, and objectives for hiring our services.
    • Participate in pricing the solution/service.
    • Handle objections by clarifying, emphasizing agreements and working through differences to a positive conclusion. Use a variety of styles to persuade or negotiate appropriately.
    • Present an image that mirrors that of the client to our advantage.

    Client Retention

    • Present new products and services and enhance existing relationships.
    • Work with technical staff and other internal colleagues to meet customer needs.
    • Arrange and participate in internal and external client debriefs.

    Business Development Planning

    • Attend industry functions, such as association events and conferences, and provide feedback and information on market and creative trends.
    • Present to and consult with mid and senior level management on business trends with a view to developing new services, products, and distribution channels.
    • Identify opportunities for campaigns, services, and distribution channels that will lead to an increase in sales.
    • Using knowledge of the market and competitors, identify and develop the company’s unique selling propositions and differentiators.

    Management and Research

    • Submit weekly progress reports and ensure data is accurate to the Project Coordinator.
    • Ensure that data is accurately entered and managed within the company’s approved policies.
    • Forecast sales targets and ensure they are met by the team.
    • Track and record activity on accounts and help to close deals to meet these targets.
    • Work with all staff to ensure that prerequisites (like prequalification or getting on a vendor list) are fulfilled within a timely manner.
    • Ensure all team members represent the company in the best light.
    • Present business development training and mentoring to business developers and other internal staff.
    • Research and develop a thorough understanding of the company’s people and capabilities.
    • Understand the company’s goal and purpose so that will continual to enhance the company’s performance.
