    Exams and Administrative Officer

    Company:             Professional institute                           

    Reports to:           Head of Department (Exams unit)

    JOB DESCRIPTION

    • Online downloading of candidates’ application data in the faculty of Internal Medicine (primary, membership and subspecialty)
    • Creating Excel worksheet for all application stating names, address, faculty, examination status, etc.
    • Processing and lamination of candidates’ exam slips containing their names, index numbers and exam centers
    • Handling dissertation as assigned by Chief Examiner
    • Computation of fresh proposal tables for the chief examiner to nominate assessors
    • Treatment of fresh proposals (Internal Medicine - registering, recording in hard copy and opening individual files in soft copy)
    • Treatment of proposals and dissertation responses from candidates and assessors
    • Sending proposals, dissertations, and reminders to default assessors via email
    • Producing electronic copies of exam data to be sent to Chief Examiners prior to vetting
    • Preparation and sending of Examiners letters (with dissertation books)
    • Preparation and sending of candidates’ success letters via courier
    • Filling of documents/comments for proposal and dissertations (online)
    • Updating Examiners records (address, email & phone numbers)
    • Preparation of payments schedule for assessors (assessed proposal) for account unit
    • Ensure that the information for all registered candidates in all faculties are printed (with names, emails, phone numbers, institutions and gender) and spiral bounded, then stored in the Exams unit’s office safe.
    • Preparing candidates’ full-pass letters
    • Updating full-pass records for certificate writing and printing
    • Preparation of scripts for result after every exam
    • Carrying out other administrative office routine duties as may be assigned to you.

    Job Qualifications/Requirements

    • B.Sc. in any related field
    • Min of 3-5 years of cognate experience as Exam & Administrative Officer working in the exams’ unit of a higher institution or professional body
    • Must be proficient with MS Office packages (Word, Excel, PowerPoint)
    • Excellent interpersonal and written communication skills
    • Organizational skills with attention to detail
    • Problem solving and Effective time-management skills
    • Ability to travel on official assignments
