    Executive Assistants to Senior Leadership

    Position Overview

    • The Executive Assistant to Senior Leadership at James Hope University plays a crucial role in supporting the university's executive team. This role involves managing the day-to-day administrative operations, providing high-level support to senior leaders, and ensuring the efficient functioning of the executive office.

    Responsibilities

    Administrative Support:

    • Manage complex calendars, schedule meetings, and coordinate appointments for senior leaders.
    • Prepare and organize meeting agendas, materials, and minutes.
    • Handle travel arrangements, including booking flights, accommodations, and ground transportation.
    • Process expense reports and manage budget-related tasks for the executive office.

    Communication:

    • Act as the primary point of contact between senior leaders and internal/external stakeholders.
    • Draft and proofread correspondence, reports, and presentations.
    • Maintain confidentiality and discretion in all communications.

    Project Management:

    • Assist in the planning and execution of special projects and initiatives.
    • Track project progress, manage timelines, and ensure deliverables are met.
    • Coordinate cross-functional teams and resources as needed.

    Office Management:

    • Oversee the daily operations of the executive office, including office supplies, equipment, and facilities.
    • Maintain organized filing systems, both electronic and physical.
    • Ensure compliance with university policies and procedures.

    Qualifications

    • Bachelor’s degree in business administration, communications, or a related field.
    • Minimum of 5 years of experience in executive support or a similar role, preferably in a higher education setting.

    Skills:

    • Excellent organizational and time management skills.
    • Strong written and verbal communication abilities.
    • Proficiency in Microsoft Office Suite and other relevant software.
    • Ability to multitask and prioritize effectively in a fast-paced environment.
    • High level of professionalism and discretion.

    • Ensuring accuracy and thoroughness in all tasks.
    • Identifying issues and finding effective solutions.
    • Building strong relationships with colleagues and stakeholders.
