    Head of Operations (Experiential Marketing Agency)

    About the job

    The Head of Operations, Planning & Support is responsible for establishing and running the agency's operations using a best-practice project delivery approach. The role ensures that all projects are delivered within the agreed scope, time, cost, and quality. The individual will oversee all aspects of project design, set deadlines, assign responsibilities, and monitor progress throughout the project lifecycle. Coordination with other departments to ensure compatibility and hiring new talent to meet client needs are also key aspects of the role.

    • Coordinate internal resources and third parties/vendors for the flawless execution of projects.
    • Ensure a minimum of 40% profitability on each project.
    • Forecast requirements, schedule expenditures, analyze variances, and initiate corrective actions.
    • Ensure that all projects are delivered on time, within scope, and within budget.
    • Define project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility.
    • Identify, create, and facilitate process design changes by conducting business and systems process analysis at a complex level.
    • Ensure compliance with all quality procedures and policies related to project planning and reporting.
    • Maintain direct responsibility for the timeliness and completeness of required project plans and performance metrics updates.
    • Recommend budget requirements and ensure effective utilization of resources within approved budgets.
    • Review daily updates and respond to issues and queries.
    • Perform risk management to minimize project risks.
    • Reconcile expenditure/budget at the end of each project.
    • Understand and achieve all KPIs for each project.
    • Develop spreadsheets, diagrams, and process maps to document needs.
    • Regularly meet with the project team to review deliverables and deadlines.
    • Delegate project tasks based on staff members’ strengths, skills, and experience levels while coaching them to become high-performing individuals.

    Requirements

    • Experience managing large-scale projects and day-to-day operational requests.
    • Strong project management skills and the ability to handle multiple tasks.
    • Understanding of indices, fundamentals, and analytical data.
    • Self-motivation and the ability to meet objectives independently.
    • Teamwork and an interest in business dynamics.
    • Excellent organizational skills, including prioritization and time management.
    • Effective communication skills with excellent client-facing abilities.
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
