    HR Intern

    Overview

    Under the overall supervision of the HR Partner, the HR Intern roles are to review, develop, maintain and classify procedures for the filing and management of confidential personnel files, individual staff-related documents, correspondence, circulars, policy documents, etc., to ensure consistency of HR data for the project.  

    Interested applicants substantiated as the subject of an investigation for misconduct (exploitation, abuse or harassment) are not eligible to apply

    Note: This is a temporary role with a duration of 1 month.

    Responsibilities     

    • Process and/or verify completeness and accuracy of all personnel records and documentation such as employment agreements, amendments, transfers and terminations.
    • Maintain data for employment history, confirmation, promotions, transfers, salaries, and training.
    • Documentation of certificates and other employee credentials.
    • Other duties that may be assigned from time to time.
    • Receive and manage personnel files from units.
    • Sort and eliminate unnecessary documentation.
    • Scan and file historical documents and assist in converting historical personnel physical documents into electronic data.
    • Develop, document, or maintain standards, best practices, or system usage procedures.
    • Advise on proper shelf identification processes for easy access to documents.
    • Create inventory list of documents.
    • Identify and validate file formats to be archived, format conversion if necessary, renaming and organization.
    • Conduct searches in the electronic archiving system at the request of HR Partner and Project Director (memos, evaluation forms and results, action forms, circulars etc.)
    • Control and manage secure access and protection of archived data, in collaboration with team.               

    Qualifications

    • Minimum of Bachelor’s Degree in Human Resources, Industrial Relations, Administration, or related field
    • 1 year or less experience working in the Human Resources Department of an organization.
    • Demonstrated ability to handle confidential matters discreetly and gain the trust and confidence of colleagues.
    • Competences to assess priorities, manage a variety of complex activities simultaneously in a time-sensitive environment, and meet competing deadlines.
    • Excellent interpersonal skills and demonstrated ability to interact professionally with diverse staff and clients.
    • Ability to understand comprehensive information.
    • Basic numeracy and IT skills required for operating various systems.
    • Demonstrated integrity, confidentiality and approachability.
