    Executive Assistant to Group Executive Driector

    Job Description

    The role is responsible for the provision, administrative and secretarial support to senior executives and management. This role requires a high level of professionalism, discretion, and organizational skills to facilitate efficient operations within the company.

    Responsibilities

    Calendar Management:

    • Manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements.
    • Ensure executives are well-prepared for meetings with necessary documents and information.

    Communication:

    • Screen and prioritize incoming calls, emails, and other correspondence.
    • Draft and edit correspondence, reports, and presentations on behalf of executives.
    • Handle confidential and sensitive information with discretion.

    Meeting Coordination:

    • Arrange and coordinate meetings, conferences, and events, both internally and externally.
    • Prepare meeting agendas, take minutes, and distribute action items as needed.

    Travel Arrangements:

    • Organize and book travel arrangements, including flights, accommodations, visas, and transportation.
    • Prepare travel itineraries and ensure executives\\\' travel needs are met.

    Document Management:

    • Maintain and organize electronic and physical filing systems.
    • Retrieve and archive documents as required, ensuring easy access for executives.

    Expense Management:

    • Track and manage expense reports, reimbursements, and petty cash for executives.
    • Ensure expenses are aligned with company policies and budgets.

    Office Administration:

    • Oversee the general office operations and ensure a tidy and professional work environment.

    Requirements

    • Bachelor's degree in business administration, secretarial studies, or a related field is preferred.
    • Minimum of 5 years’ experience as an executive assistant, preferably in the oil and gas industry.
    • Proficient in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent written and verbal communication skills in English.
    • Strong organizational and multitasking abilities.
    • High level of discretion, professionalism, and confidentiality.

    Legal Officer

    Job Description

    To provide support in ensuring that Rainoil’s interests, operations and business transactions are protected to minimize exposure to potential litigation and fully comply with the law/relevant statutory provisions

    Job Responsibilities

    • Assists in the preparation of legal contracts, briefs, deeds, leases, and other legal papers
    • Conducts research on relevant statutes, rulings, and precedents to be used as a basis for responding to legal opinions or preparing briefs 
    •  Prepares and drafts  all legal documents and agreements relating to Rainoil’s operations (e.g. supplier contracts, insurance contracts, employee contracts, service level agreements) for review by the Head, Legal
    • Drafts legal agreements and prepares case notes, head notes, and index entries describing company’s final decisions and orders for the review of the Head, Legal
    • Provides useful inputs in the formulation of deals and contracts
    • Prepares all relevant documents for  needed filing statutory reports
    • Collects legal journals, circulars, communiqués, legal documents and other correspondences
    • Maintains all legal documentation within the department ensuring proper filing and      completeness   
    • Follows up with relevant departments on outstanding legal documents/responses
    • Works to ensure the protection of intellectual property across all Units
    • Provides general legal advice in relation to the organisation’s daily operations
    • Ensures that the appropriate statutory returns are made within the stipulated deadlines

    Requirements/ Qualifications

    • Minimum of bachelor’s degree in Law and LLB

    Desirable:

    • A Master’s degree in Law with specialty in the relevant areas e.g. Maritime Law, Corporate Law etc.

    LPG Regional Operations Supervisor

    Job Summary:

    Responsible for monitoring and ensuring optimal operation of Gas facilities, by supervising the activities of Plant Supervisors and Skid Operators. Supports the achievement of regional sales targets.

    Roles & Responsibilities:

    • Conduct regular training of Plant Staff and Skid Operators on safe gas equipment handling (observing temperature, level, and flow gauges, and perform regular unit checks to ensure that all equipment is functional)
    • Monitor and ensure compliance with Operations Processes across Gas facilities.
    • Monitor stock levels and ensure prompt reporting, reorder and replenishment of stock.
    • Monitor and enforce housekeeping and service standards in all Gas Filling Plants
    • Monitor and enforce compliance with Health & Safety practices at all Gas Filling Plants
    • Engage Regulatory agencies to obtain required facility Permits, Licences, and Certificates
    • Supervise the activities for Vendors executing jobs at facilities to ensure adherence to work scope.
    • Monitor and ensure compliance with preventive maintenance of all equipment to prevent breakdowns and minimise downtime. Including equipment metering and calibration.
    • Prepare records of maintenance activities.
    • Conduct weekly spot checks to verify state of Gas facilities.
    • Communicate Gas prices to customers daily and follow-up on their orders.
    • Liaise with Finance to confirm prompt confirmation of customer payments.
    • Communicate approved customers for Loading to the Depot Operations Team
    • Liaise with Gas Depot sales and operations team to ensure prompt customer loading.
    • Follow-up with the Logistics Manager / designated truck drivers to ensure hitch-free delivery of product to customer locations.
    • Monitor and report on Gas sales and stock levels across Filling Plants and Skids, daily.
    • Prepare daily Product Programming (Replenishment) Request for Gas Filling Plants / Skids
    • Follow up with customers to ensure prompt collection of Trade Accounts Receivables.
    • Process expenses (Imprest, capital expenses, approvals) for Gas Filling Plants

    Qualifications:

    Required:

    • Minimum of bachelor’s degree / HND in Engineering or related discipline is required.
    • Minimum of Six (6) years’ relevant experience in Gas Operations with functional leadership of at least two (2) years in a management role
    •  Master’s degree can be an added advantage.
