    Pharmacist Assistant (Maternity Cover)

    Key responsibilities:

    • Compliance with Best Storage Practices for medical products;
    • Space organization of the Pharmacy;
    • Physical integrity of the premises: secure openings, no water damage, no roof or wall cracks, no rodents, etc;
    • Hygiene of the premises: regular cleaning of the floor and shelves, refrigerator maintenance, no sweet food or beverages, etc;
    • Twice daily control of temperature and humidity on working days;
    • Ensure that everything possible is done to combat the deterioration factors of medical products;
    • Classification of products according to the rules recommended by ACF;
    • Ensure that the special conditions for storage of some specific products (cold chain, products assimilated to narcotic drugs);
    • Update all of the essential management tools;
    • Registration of all movements of stock on the Inventory Sheets, stock cards, and computer stock tracking tool (Stock Follow-Up Medices);
    • Conduct a monthly physical inventory according to the procedure of ACF and the Chronogram of the pharmacy activities defined;
    • Record any medical item entry and exit in stock cards on a weekly basis;
    • Do the weekly/monthly drugs inventory;
    • Report discrepancies and general consumption issues to the pharmacy supervisor;
    • Quarantine obsolete and damaged products and put them in a secure place;
    • Work with program team to amend drug and stock quotas on a weekly basis to prevent exceptional ordering;
    • Responsible for inventory and replacement of all emergency boxes – following the schedule for these;
    • Remove the expired stock items (physical and virtual) and list them;
    • Prepare the order based on the validated Stock Request Orders (SROs);
    • Complete the transfer tools (Delivery Note, SFUMED, etc.);
    • Technically support the supervisors concerning management practices of medical storage so these conform to structures supported by ACF;
    • Archiving all the management tools;
    • Supplementing the monthly pharmacy report and to deliver it to these hierarchical and functional superiors;
    • Participating in the reception of capital international orders:
      • Quantitative reception (number of boxes, quantity of products etc.)
      • Qualitative reception (integrity of the delivered products, compliance with the conditions of conservation etc.).

    Position Requirements:

    • Bachelor’s degree in Pharmacy;
    • Minimum of 2 years of proven experience in stock management;
    • Experience in a pharmacy supply for hospital projects;
    • Work experience in INGO setting will be an added advantage;
    • Fluency in spoken and written English language. Hausa language is desirable;
    • Strong work ethic: punctuality, responsibility, and flexibility;
    • High level of motivation;
    • Good capacity to work in a team;
    • Good Computer Skill, MS Word, MS Excel;
    • High level of Integrity and Transparency;
    • Ability to organize and prioritize workload, attention to detail; using initiative when appropriate, and demonstrate good judgment;

    Supply Assistant

    Key responsibilities:

    • Make small procurements on behalf of the Supply Specialist;
    • Enter logistics requests into LINK;
    • Organise and monitor deliveries;
    • Inspect deliveries: quantity, quality, documentation;
    • Report any quality problems to the Supply Specialist;
    • Keep the receiving and dispatch section of LINK up to date;
    • Keep the documentation archive up to date;
    • Check invoices;
    • Transfer validated invoices to accounting for payment to suppliers;
    • Organize appointments with suppliers for payments according to the cheque signing and cash office opening times of the finance department;
    • Ensure that ACF policies (Gender and Safeguarding, etc.) are well understood by suppliers;
    • Identify incoming and outgoing material and check quality and quantities;
    • Keep stock records up to date;
    • Write up the various shipping documents;
    • Supervise the preparation and loading of products and materials.

    Position Requirements:

    • National Diploma or equivalent in Logistics, Supply Chain Management, Business Management, or other relevant field of study;
    • Minimum of 2 years of proven experience in office administrative work;
    • Some experience in Supply Chain;
    • Good capacity to work in a team;
    • Good Computer Skill, MS Word, MS Excel;
    • High level of Integrity and Transparency;
    • Ability to organize and prioritize workload, using initiative when appropriate, and demonstrate good judgment;

    Warehouse Officer

    Key responsibilities:

    • Identify the items entering and leaving and check the quality, quantity, and documentation;
    • Report any problems with quality, quantity, or documentation immediately;
    • Update the SFU on a daily basis, and submit weekly to the logistics manager;
    • Ensure that the stock forms bin cards, stock cards, etc. are kept up to date;
    • Restrict entry into storage facilities and keep keys for the storage facilities;
    • Ensure that ACF Kitlogv3 storage procedures are respected;
    • Ensure internal guidelines, rules, and regulations are known by his team and respected;
    • Ensure that storage standards are known by his team and respected. For instance, make sure that all requirements for food storage are fulfilled;
    • Observe the minimum stock balances to anticipate any shortage in rolling stock and report it to the Logistics Manager;
    • Review monthly the minimum stock balance according to consumption;
    • Pay particular attention to use-by dates of food and medicine, ensuring proper stock rotation. Advise Logistics Assistant whenever expiry dates are approaching (within 2 months);
    • Carry out a monthly physical inventory of all items in stock and submit Stock Follow-Up (SFU) to the Logistics manager;
    • Identify stock that is not being utilized and report to the Logistics manager;
    • Ensure that Programme stock is released from the warehouse before the end date of the grant it was purchased on;
    • Check weekly that the store is clean, organized, and regularly ventilated;
    • Make sure that the stock is arranged in such a way that it’s easy to count and aisles are accessible;
    • Check daily and record the temperature and humidity of the store. More especially, make sure the approved layout is implemented when available;
    • Supervise the management of infected products. For instance, make sure that they are separated and documented;
    • Separate foodstuffs from other stock and pay special attention to dangerous goods;
    • Ensure storage facilities are free from rats, rodents, and any other pests that may damage stock and periodically plan for fumigation of storage facilities;
    • Plan for disposal of expired/ infected products in collaboration with the logistics manager and the owner of the stock;
    • Receive and issue out the various dispatch documents that is Stock Request Orders (SROs), Delivery Notes (DN) Waybills as per kit log procedures;
    • Ensure the owner personally conducts a physical review of any stock they have requested and signs the necessary documentation;
    • Directly supervise the process of loading and unloading, including casual worker requests, attendance sheets, and ensuring timely payment is made;
    • Supervise warehouse assistants day to day work;
    • Provide support whenever needed;
    • Handle the comprehensive work of any of the team members whenever there is a gap (leave, vacancy);
    • Keep a good information flow with the procurement team (in the base and Abuja) to either update on the deliveries or anticipate the upcoming deliveries;
    • Report to the logistics manager any challenge.

    Position Requirements:

    • BSc in Logistics, Supply Chain Management, Business Management, or other relevant field of study;
    • Minimum of 3 years proven experience in stock management;
    • Sound knowledge of general storage procedures;
    • Highly organized and archiving management;
    • Traceable previous experience in a similar role in an NGO setup;
    • Good computer skills in Microsoft Office (Excel);
    • Good communication skills in both written and oral English and excellent in Hausa or Kanuri language;
    • Inhabitant of North-east Nigeria region;
    • High level of Integrity and Transparency;
    • Ability to organize and prioritize workload, using initiative when appropriate, and demonstrate good judgment;
    • Possess strong analytical, communication, and interpersonal skills;
    • Effective multitasking skills with the ability to coordinate and handle pressure/stress well;
