    Import Officer

    Job Summary

    The Import Officer is responsible for supporting the importation process by handling documentation, customs clearance, and coordination with internal teams and external partners. This role ensures compliance with relevant trade laws and efficient import operations to meet business needs.

    Core Responsibilities and Key Result Areas

    Import Documentation and Compliance:             

    • Assist in preparing and reviewing import documentation, including bills of lading, commercial invoices, and certificates of origin.      
    • Ensure compliance with import regulations, trade laws, and customs procedures.
    • Liaise with customs brokers and regulatory authorities to secure necessary permits and clearances.

    Shipment Coordination:        

    • Track and monitor shipments, coordinating with freight forwarders and logistics partners to ensure timely delivery.               
    • Report shipment delays or issues to the Import Manager and propose solutions to resolve them.          
    • Assist in selecting transportation modes and routes based on cost and transit time.

    Vendor and Partner Coordination:       

    • Maintain relationships with freight forwarders, customs agents, and other logistics partners to facilitate smooth operations.
    • Monitor and evaluate the performance of service providers, reporting any issues to the Import Manager.

    Inventory Management Support:          

    • Coordinate with the warehouse team to ensure that imported goods are received, inspected, and properly stored.                
    • Track inventory levels and notify relevant departments about incoming shipments.
    • Reporting and Analysis:
    • Maintain detailed records of all import activities, including shipment tracking and documentation.
    • Prepare regular reports for the Import Manager on shipment status, compliance issues, and operational performance.

    Educational Requirement

    • Bachelor’s degree in Logistics, Supply Chain Management, International Trade, or a related field.

    Experience

    • At least 2-3 years of experience in import operations or logistics.
    • Experience working with customs brokers, freight forwarders, and regulatory authorities.

    Import Manager

    Job Summary

    The Import Manager oversees and manages all aspects of import activities within the organization. This role is responsible for ensuring timely and cost-effective importation of goods, compliance with international trade regulations, and coordination with suppliers, customs agents, and internal departments.

    Core Responsibilities and Key Result Areas

    Import Operations Management:           

    • Plan and oversee the import operations to ensure timely clearance and delivery of goods.
    • Coordinate with internal departments (Sales, Warehouse, Finance) to ensure smooth receipt of imported goods. 
    • Analyze shipment plans and determine optimal transportation methods based on cost and delivery time.               
    • Manage the preparation and submission of import documentation, including bills of lading, invoices, and certificates of origin.                  
    • Ensure compliance with international trade laws, import regulations, and customs procedures. .
    • Ensure compliance with export regulations and trade policies of destination countries.

    Import Documentation and Compliance:              

    • Review and approve import documentation such as invoices, packing lists, and shipping instructions.  
    • Ensure strict compliance with import regulations and trade policies of the relevant countries. 
    • Liaise with customs brokers and regulatory authorities to obtain necessary clearances, licenses, and permits.

    Shipment Coordination:         

    • Coordinate with freight forwarders, carriers, and logistics providers for timely delivery of imported goods.              
    • Monitor the progress of shipments, resolve delays, and address any issues that may arise.
    • Optimize transportation routes to reduce costs and improve delivery efficiency.

    Vendor and Supplier Management:      

    • Maintain strong relationships with suppliers and negotiate favourable terms.           
    • Evaluate and manage the performance of external service providers (freight forwarders, customs agents, etc.).

    Team Leadership and Development:

    • Lead and develop a team of import operations professionals, providing guidance and support to enhance their skills and performance.
    • Allocate tasks and responsibilities among team members to ensure efficient workflow and adherence to deadlines
    • Set clear goals and objectives for team members, monitor progress, and conduct performance evaluations.
    • Promote a collaborative and positive work environment that encourages teamwork, innovation, and continuous improvement.
    • Provide training and development opportunities to enhance team members' skills in export operations.

    Reporting and Analysis:

    • Prepare and present regular reports on import activities, including shipment volumes, compliance issues, and operational performance to the Management.
    • Analyse import data and trends to identify opportunities for process improvements, cost savings, and operational efficiencies.

    Eductional Requrement

    • Bachelor’s degree in Logistics, Supply Chain Management, International Trade, or a related field.

    Experience Requirement

    • Minimum of 5 -7 years of experience in import operations or international trade, with at least 2 years in a managerial or supervisory role.                                  
    • Proven ability to manage import operations, customs compliance, and vendor relationships.
