    Shipping Compliance Officer

    Job Description

    RESPONSIBILITIES AND ACCOUNTABILITIES

    • Support in sensitizing the shipping department (office staff and crew) to ensure compliance of the safety management system (SMS).
    • Suggest to the DPA possible improvements/modifications of the MS.
    • Comply with the IMS procedures and requirements and demonstrate your commitment to safety and environmental excellence.
    • Ensure the safe and environmentally sound operation of the fleet by providing guidance on relevant standards.
    • Motivate vessels’ personnel for continuous improvement and encourage enhancement of performance.
    • Perform internal office and vessels compliance audit periodically.
    • Participate in the emergency response team during emergencies on the vessels.
    • Assist in coordinating incidents, accidents, injuries, near misses’ investigations, analyzing results and producing annual statistics as per OCIMF guidelines.
    • Ensure cooperation with the Technical Department regarding vessels’ requirements in relation with safety and environmental performance and improvements.
    • Support in coordinating planned and emergency drills/ unannounced drug and alcohol test for the crew onboard.
    • Keep abreast with the Statutory and Class regulations and standards.
    • Analyze the results of assigned vessels’ inspections and follow-up on all reports of vessels’ condition and performance.
    • Conduct periodic safety and quality inspections and audits on the company’s ships.
    • Periodically provide reports of activities done.

    Requirements

    REQUIREMENT AND EXPERIENCE

    • Shipping Academy graduate, recognized by National Authorities or a degree from an Institution of higher education.
    • Minimum of 2 years work experience on a similar role
    • A HSE certification is an added advantage e.g NEBOSH, OSHA, etc.

    SKILLS

    • Good analytical and organizational skills
    • Good knowledge of international shipping standards e.g MARPOL, ISPS, MLC, ISM etc
    • Knowledge of the shipping industry
    • Ability to pay attention to detail
    • Ability to work for extended hours when required
    • Possess good communication skills (oral and written)
    • Proficient with Microsoft office suite

    Crewing Officer

    RESPONSIBILITIES AND ACCOUNTABILITIES

    • Assist in the crewing activities of the department
    • Review the documents of new and returning crew sent by the manning agent to ensure completeness and that all documents and certificates are valid in line with STCW 2010
    • Verify that the qualifications and certifications of new recruits onboard are authentic.
    • Maintain accurate filing of the crew documents.
    • Prepare monthly crew change plan for each vessel
    • Plan crew repatriation with the manning agent when required
    • Maintain proper filing of crew related documents sent from the vessels e.g appraisals, rest and watch hour forms etc. while ensuring their accurateness.
    • Coordinate the familiarization of on-signing crew scheduled before they board the vessels
    • Keep track of PPE usage and make necessary arrangements for new purchases
    • Review contracts prepared by the manning agent and ensure accuracy
    • Assist in ensuring that crew understand the company’s policies and procedures
    • Periodically visit the vessels to keep abreast with the crew and their welfare levels onboard.
    • Carry out internal audits as required.
    • Prepare reports of your activities as required

    REQUIREMENT AND EXPERIENCE

    • BSc/HND from a Maritime Institution in a Social Science course or Human Resource Management.
    • Minimum of 1-2 years of work experience on a similar role

    SKILLS

    • Knowledge of crewing standards such as STCW 2010, MLC 2006, ISM etc
    • Good analytical and organizational skills
    • Good oral and written communication skills.
    • A team player with attention to detail 
    • Ability to pay strong attention to detail.
    • Ability to work for extended hours when required
    • Proficient with Microsoft office suite.

    Assistant Procurement Officer

    RESPONSIBILITIES AND ACCOUNTABILITIES

    • Assist in the selection of appropriate suppliers and contractors, to promote good ethical purchasing standards and costing
    • Source and compare quotes from at least three (3) vendors for purchases to be made, to ascertain the best offer.
    • Work with internal stakeholders (shipping department) to determine accurate procurement needs, quality and delivery requirements.
    • Collate evaluation of the performance of suppliers/ vendors and report on this periodically.
    • Keep accurate records of inventories on ERP and track usage of items.
    • Follow up and enforce the company's procurement policies and procedures.
    • Manage inventories and maintain accurate purchase and pricing records.
    • Maintain and update supplier information such as qualifications, delivery times, product ranges, etc.
    • Maintain solid relationship with suppliers/vendors and possess good negotiating skills.
    • Carry out proper research and evaluation of prospective suppliers.
    • Contribute to preparing budgets and cost analyses as required
    • Prepare periodic reports identifying completed and pending activities, including completion timelines.

    Requirements

    • Bsc/HND in Marine/Mechanical Engineering or a Social Science course
    • A Marine Engineering background is an added advantage
    • Minimum of 2+ years of work experience as a procurement officer

    SKILLS

    • Strong communication and negotiation skills
    • Good analytical and strategic thinking skills
    • Supervisory and management experience
    • Keen attention to detail
    • Good knowledge of Microsoft office suite
    • Good commercial awareness of the shipping industry and the operations of a vessel

    Inventory Officer

    RESPONSIBILITIES AND ACCOUNTABILITIES

    • Responsible for preparing purchase orders, receiving, storing, distributing goods, managing the stock levels.
    • Oversee that the proper arrangement of goods and orderly system at the stock location, so that the stock can be stored and retrieved easily whenever there is a requirement.
    • Ensure the safety of stores at the warehouse
    • Periodically take stock count to confirm the available stock in store and on the vessels by working closely with the contact person (s) on the vessels.
    • Send requisition for the repurchasing of exhausted stores when required
    • Supervise the offloading and unpacking process of spares and stores from vendors upon delivery and ensure to take accurate record of items delivered as directed by the procurement department.
    • Ensure proper handling and packing of spares and stores to be delivered to the vessels to prevent loss of items on transit to the vessels.
    • Prepare reports on adjustments done to inventories that may be damaged, spoilt, etc., and coordinate the repurchasing
    • May support the procurement department in obtaining quotes from the suppliers
    • Maintain accurate and signed records upon issuance of items that are going out of the warehouse to ensure accuracy and completeness
    • Receive and keep track of spares and items landed from the vessels
    • Carry out periodic reconciliation of physical stock with the stock on ERP.
    • Periodically escort deliveries to the vessels when required.
    • Prepare periodic reports as directed

    REQUIREMENT AND EXPERIENCE

    • Bachelor's degree/HND in Marine/Mechanical Engineering, Business Management, Accounting, Logistics, Supply Chain etc.
    • Minimum of 3 years of work experience on a similar role or in managing inventories

    SKILLS

    • Good analytical and organizational skills
    • Possess good clerical and administrative numeric skills.
    • Ability to pay strong attention to detail.
    • Ability to work for extended hours when required
    • Possess good communication skills (oral and written)
    • Proficient with Microsoft office suite.
    • Commitment to continuous improvement, with a focus on optimizing inventory processes, reducing costs, and enhancing efficiency.
