    Administrative Assistant

    Details:

    ADMIN/HUMAN RESOURCES

    • Assists the Admin Officer in the collection and filing of documents to create complete recruitment files for all positions;
    • Prepares all new staff files and maintain the existing staff files;
    • Liaises with the supervisors of various units to ensure all required information is received in a timely manner;
    • Creates and maintain a database of all staff information, documents, expiration dates, etc. and follow up with the appropriate people to get any missing documents or information;
    • Manages the administrative files of the staff with confidentiality and according to the SIF Internal Regulation;
    • Enters data into the HR database and personal files and keep them up-to-date in order to facilitate HR processes management.
    • Keeps proper documentation of staff leave forms, service contracts, rent agreement, informing the Admin officer and /or Admin Coordinator of any sort of disparity.
    • Updates Social security & Tax office employee files in order to meet legal requirements and duties.

    ACCOUNTING/FINANCE

    • Manages, registers and archives the accounting of the mission according to SIF protocols as well as the budget;
    • Guarantees the respect of money management procedures:
    • Processes payment in a timely fashion (direct payment/operational advances)
    • Assists in various daily operations.
    • Files the accounting documents and enter the accounting pieces in the accounting software, with the support from the Administration Officer and/or the Admin Coordinator
    • Supervises the physical maintenance and safety of cash box under his/her control
    • Carries out all cash payments and keep track of all cash advances within established SIF guidelines
    • Daily update of the cash book under his/her control
    • Makes weekly cash count with the Admin officer
    • Liaises with the Log team to ensure that all cash advances are settled before the weekly cash count on Fridays
    • Ensures that invoices/receipts are correctly libeled and bear all the validations required in accordance with SIF guidelines.

    Data Officer

    Details:

    The tasks below are not exhaustive and due to the nature of the role, mission and organization, flexibility is required.

    Duties and Responsibilities

    • Works with different departments GFD/Nutrition and their Managers to ensure appropriate collection of data on each respective department.
    • Ensures entry of all data identified by project managers into the appropriate data management system while ensuring quality of data.
    • Knows and ensures proper use of software used for recording (i.e. Fuchia, Epi Info, etc.).
    • Ensures accuracy of the data entered into the project’s database on a regular basis, according to SIF protocols and carry out regular back-ups.
    • Assists in the development of new data collection formats when necessary for each department
    • Provides regular statistical reports for the medical national and expatriate team, as well as informing his/her supervisor of any missing information, major changes on the activity or big differences in data. Supports his/her supervisor on the preparation of monthly report.
    • Develops awareness to the communities on the purpose of data collection in order to maximize efforts and meet the required objectives.
    • Conducts surveys, interviews, questionnaires and other data collection activity as required.
    • Collects, compiles, stores and manages data from the collected information.
    • Reviews and regularly verifies if the registered information is accurate and up to date.
    • Submits timely data collection reports and other corresponding reports, such as expense reports if required.

    QUALIFICATIONS AND EXPERIENCE

    • Essential proven computer literacy with Bachelor degree/HND in Statistics, or Mathematics or any related discipline
    • Minimum of 2 years experience in data management.
    • Excellent analysis, evaluation and technical skills.
    • Excellent communication skills in English and Hausa language
    • Excellent problem solving and management skills.
    • Interact effectively and professionally with the community stakeholders to neutralize any misgivings regarding the inspection process.
    • Ability to anticipate unusual situations and make quick and responsible decisions

    General Food Distribution Project Manager GFD-PM

    Details:

    The General Food Distribution Project Manager will directly report to the Field Coordinator and will play à key role in implementing food aid project in Ngala. The distribution project manager is responsible for running and supervising all implementing activities at all stages of the project management cycle. He/she will ensure the field team completes the defined activities while adhering to internal standards and contractual obligations.

    Specific Objectives: 

    • Provides support to the Field Coordinator to implement the program successfully.
    • To establish and supervise food distribution broad sector integrated activities.
    • To coordinate activities within SIF and between partners in project area.
    • To ensure adequate reporting and documentation of all related food aid activities.
    • Training and managing the program team.

    ·         The GFD-PM is in charge to manage the distribution activities in Ngala. She/he implements distribution activities, analyses and orients the project, and manages the distribution teams.

    • Organizes and supervises the daily activities of the food distribution team: identification, registration, post-distribution survey…
    • Passes on any information or problems to his/her direct and/or indirect supervisor concerning his/her task, SIF programs, or safety aspects
    • Analyzes the humanitarian situation, taking protection problems into consideration/Do no Harm to the population.
    • Proposes action plan to ensure that beneficiaries and local populations both understand the project goals and actively participate in their implementation.
    • Acts as a liaison with the local population and authorities in order to identify the needs, grievances and major events that could have potential consequences for SIF activity
    • Ensures the proper training and supervision of the community volunteers who take part in the project
    • Organizes sensitization for the beneficiaries or community members according to the identified needs
    • Organizes the day-to-day schedule of the team to guarantee the smooth running of the project
    • Make sure every member of the team clearly understand his/her task and has the necessary material to correctly fulfill his/her objectives
    • Organizes regular meeting with his/her team (briefing and debriefing) and ensures they have the necessary support they need
    • Compiles collected data and collect information from the team to present regular reports to the Field Coordinator on the progress of activities, problems encountered, the quality of relations with beneficiaries and propose actions to improve the project
    • Ensures representation of SIF at field level for the areas which s/he is responsible for.
    • Provides weekly internal reporting on activities on the progress of food distribution activities.

    Requirement

    • Bachelor degree/HND in Agriculture, Agricultural Economics and extension services
    • 2 years of work experiences
    • Practical demonstration of the use of excel and Microsoft word
    • Fluent in English and Hausa
    • Ability to analyze and synthesize information
    • Professinal, motivated, open, creative, mature, responsible, flexible, culturally sensitive
    • Human resource management experience, leadership and motivation/training skills
    • Excellent organization, attention to detail, and time management
    • Must be disciplined, able to work autonomously
    • Strong capacity to represent SIF and sustain relations with state and local stakeholders 
    • Interpersonal skills (team management, communication, reporting, autonomy, pedagogy, planning and organizational skills.

    Logistics Officer

    Details:

    • Reports directly to Logistics Coordinator.
    • Coordinates with Program Managers and support them on the logistics side.
    • Manages the logistics system in place and supervision of logistics Assistants’ activities, ensuring that all SIF procedures and donors regulations are respected
    • Ensures that purchase requests are updated and follow-up information sent to the field
    • Prepares the Monthly report on the Logistics of the Base (Order Follow up, fuel consumption, Mechanical fleet, movement of stock etc.)
    • Provides regular detailed reports on all logistics operations of the base
    • Plans and manages monthly inventory of the Stock and equipments
    • Ensures that stock lists are correct at all times
    • Conducts field trips to check all logistical procedures at the base, mini bases and Merlin depots
    • Follows up international orders on instructions from the LogCo
    • Supports  the Logistics Coordinator  to prepare contracts with suppliers
    • Maintains the Guest House and Office (Plumbing / Electricity etc.)

    NB:  The above tasks may be delegated to subordinates, in consultation with Field Coordinator and Logistics Coordinator.

    • Bachelor degree/HND in any discipline
    • At least 2-3 years of professional experience in logistics
    • At least 1 previous experience with an INGO is required
    • Experience dealing with suppliers and following procurement procedures
    • Strong knowledge of computer operations and internet is key
    • Excellent organizational skills and ability to be flexible
    • Ability to work under stressful situation and under specific security context
    • Strong interpersonal and intercultural skills
    • Fluent in English and Hausa language

    GBV Project Officer

    Details:

    Duties and Responsibilities

    • Support in capacity building of the community mobilizers/partners on GBV guiding principles and concepts.
    • Contribute to the effective implementation of GBV training modules and development of Information Education Materials (IEC) curricula with other actors.
    • In close collaboration with implementing partners/complementary partners keep track of incident reports, monitor referrals for GBV survivors to appropriate actors such as ALIMA, and ICRC.
    • Represent GBV project manager in Gender-Based Violence Sub-Cluster Working Group (GBVSWGs) and Protection Sub-Cluster Working Group (PSWG) meetings as needed.
    • Provide inputs in formulation of Women Friendly Spaces (WFSs)/Dignity Kits/ and Case Management Guidelines.
    • Support the implementation of project activities by working in close collaboration with the community mobilizers

    QUALIFICATIONS AND EXPERIENCE

    • Bachelor’s degree in social sciences, gender issues, social work or any other relevant field with a minimum of 3 years experience.
    • Experience in Microsoft word, Microsoft Excel
    • Good knowledge of project cycle management.
    • Good knowledge of community based approach, survivor-centered approach and Do no harm principles.
    • Strong written and oral communication skills in English, including report development, writing and editing,
    • Strong facilitation skills with participatory methodologies.
    • Positive, respectful attitude and collaborative approach to problem solving,
    • Demonstrate attention to detail, ability to follow procedures, meets deadlines, work independently and cooperatively with other team member
