    Human Resources & Administration Officer - Retail

    Role Summary: This position holder will recruit, support, and develop talent through implementing policies and managing procedures. You will assist with administrative tasks and you’ll contribute to the overall effort of making the company a better place to work.

    Reports to: Human Resources & Administration Manager

    What you will do:

    • Support the development and implementation of HR initiatives and systems
    • Assist in Providing counselling on policies and procedures
    • Assist in implementing an effective onboarding program for new hires
    • Assist with the development and implementations of training programs
    • Assist in coordinating the performance management processes
    • Maintain employee records according to policy and legal requirements
    • Review employment and working conditions to ensure legal compliance
    • Administer health benefits and retirement plans, including plan selection and open enrolment administration, change reporting, invoicing review/approval; liaise with third-party brokers on benefit plan setup and administration
    • Nurture a positive working environment and define employee relations practices necessary to promote a high level of employee morale, engagement, and motivation
    • Create and maintain master HR files; ensure paperwork is complete and compliant with regulatory requirements and company’s needs
    • Complete periodic reconciliation of benefits and payroll records and rectify issues in a timely manner
    • Administer HR policies and procedures specified in the staff handbook
    • Assist staff with HR-related questions and issues and provide periodic communication on benefits and related information to employees
    • Manage day-to-day office operations; oversee and coordinate overall office activities and provide administrative support to the executive leadership
    • Identify and oversee services with commercial vendors for all of the company’s operational requirements.

    Administration

    • Manage relationship with facilities management, vendor management; coordinate office maintenance and support need
    • Supervise the acquisition and maintenance of computer equipment and supplies in accordance with the company’s purchasing policies and budgetary restrictions
    • Processing, typing, editing, and formatting minutes of meetings, reports, and documents.
    • Liaising with internal departments and communicating
    • Arranging and scheduling appointments, meetings, and events.
    • Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.
    • Preparing facilities and arranging refreshments for events, if required.
    • Observing the best business practices and etiquette
    • Carries out other job functions that may be assigned by the Head, Human Resources & Administration.

    What you will bring:

    • Level of Education – Degree in IRPM, Business Administration, Social Studies or relevant field; further training will be a plus
    • Professional Qualification – CIPM, CIPD, HRMI plus
    • A minimum of 2 - 3 years’ experience as an HR Officer.
    • Good knowledge of Microsoft Office.
    • Experience in Retail Industry will be an added advantage.
    • Proven experience as HR officer, administrator, or other HR position
    • Knowledge of HR functions (pay & benefits, recruitment, training & development, etc.)
    • Understanding of labor laws and disciplinary procedures
    • Proficient in MS Office and other HR tools
    • Outstanding organizational and time-management abilities
    • Excellent communication and interpersonal skills
    • Problem-solving and decision-making aptitude
    • Strong ethics and reliability
