    Executive Assistant to CEO Marine Logistics and Supply

    Job Description

    • Coordinate scheduling and maintain executive's calendar to optimize hours of day
    • Work to understand the business to readily determine whether to accept a meeting request or request more information regarding the meeting request
    • Request contact information of meeting attendees for the executive to be prepared for future communication
    • Answer executive's phone and obtain information from caller for executive to readily understand purpose of call and prioritize returning the call
    • Work to be cost effective with expenses associated with travel, office administration and meetings
    • Manage executive's e-mail inbox by dealing with attachments for future reference and print out e-mails that require the executive's review/action
    • Organize documents in document management system; maintain file folders and system for ready access to documents and information
    • Data input: create tables in excel; organize information from various sources
    • Work closely with Executive’s direct reports (as well as their reports) to help them prioritize joint meetings, travel, access to core information and plans
    • Utilize relationship building skills to make key activities and requests happen
    • Manage executive’s Travel and Expense account
    • Preview reports of executive's direct reports to verify appropriate account allocation and to conform to company policy before the executive reviews the reports
    • Handle all expense reports for Executives and process invoices
    • Coordinate and/or edit presentations
    • Coordinate executive's participation in events
    • Purchase and/or coordinate executives' hardware (cell phone, laptop, printer, etc.)
    • Coordinate executives' participation with boards, on behalf of company and outside of company.
    • Develop and maintain network/relationship with assistants of network general managers.

    Qualifications

    • A Legal, Finance and Business Administration degree or any relevant field is preferred or equivalent experience
    • Minimum 7 plus years proven administrative experience supporting at the executive level
    • Experience coordinating varied executive travel arrangements
    • Strong interpersonal skills
    • Must be MS Office proficient: Excel, Word, PowerPoint
    • High level of confidentiality required
    • Strong organizational skills and ability to work efficiently in a fast-paced environment
    • Excellent verbal and written communication skills are required
    • Excellent problem-solving skills
    • Strong attention to detail
    • The ability to work independently as well as part of the team
    • The ability to prioritize work to effectively handle projects simultaneously under tight deadlines

    Human Resource Manager

    Job Description

    The Human Resources Manager is responsible for the administration and delivery of professional Human Resources services, supporting the company operations. This person will serve as the HR leader in development and implementation of HR services and practices to assure consistent and positive employee relations.    

    HR services include the administration of strategic initiatives, company policies, employee relations, hourly and salary staffing / selection, retention, change management, employment law, leadership development, benefits and compensation, talent management, workforce planning, contractor management, special projects, and diversity, engagement and inclusion efforts.

    Primary Responsibilities: 

    • Executes HR projects and initiatives in support of HR and business operations objectives.
    • Ensures that HR performance effectively supports the achievement of business objectives
    • Evaluates employee retention and engagement trends and provide solutions to deliver effective organizational performance.s
    • Administration of company benefit programs
    • Coachs and supports leadership in development and execution of talent management programs such as effective goal management, performance management, succession planning, career and talent development at all levels of the organization
    • Coach's managers on how to effectively manage team and individual performance
    • Recruits top talent following current labour law guidelines for all positions utilizing available resources to maintain an effective work force. Partner with recruiting team to ensure sourcing of top talent and achievement of recruiting metrics
    • Coordination of regular orientation and onboarding processes for all hourly and salary new hires. Assist with development of processes that improve the new hire experience and leads to improved integration and contributions to the business
    • Supports HR and Operations with recruiting process such as planning and attending job fairs and managing the candidate screening and offer process
    • Captures voice of the employee and drive effective change to improve the employment experience
    • Assesses and evaluates turnover trends. Develop effective solutions to ensure that turnover is held to an acceptable level
    • Manages employee relation issues and support a positive employee culture, partners with operations to manage in a mostly non-union environment
    • Coordinates and interprest all company policies to assure consistent application and equitable employee relations
    • Strong knowledge of Oil and Gas, Maritime laws, and regulations. 
    • Documents, reviews and recommends action plans for compliance with all applicable federal and state laws including compliance 
    • Ability to develop and engage as part of a strong nationwide HR team

    Basic Qualifications:

    • Bachelor's Degree in Human Resources Management or business related field
    • 8+ years of HR experience in a human resource generalist role, including 2+ years in a management position

    Preferred Qualifications: 

    • Master's Degree in Human Resources Management or business related field 
    • Change Management experience
    • Excellent written and communications skills
    • Excellent interpersonal skills
    • Ability to effectively present information and respond to questions
    • Ability to lead and work through others, effective delegation skills
    • Must be responsive and have excellent attention to detail skills
    • Excellent computer skills, must have strong Excel skills
    • Strong analytical and problem solving skills
    • Metrics and data driven. Must be able to interpret and speak with data
