    Grants Coordinator

    International Medical Corps is therefore looking for a suitable candidate to fill the position of Grants Coordinator to be based in Maiduguri and Damboa.

    Program Background

    The Grants Coordinator works under the direction of the Program Director, and shares responsibility for overall monitoring of all IMC programs/grants in Nigeria. He/she will work directly with IMC Program Managers and Coordinators in Nigeria to support and facilitate IMC’s extensive humanitarian interventions responding to IDPs needs and assistance to the hosting community. The ideal candidate will possess excellent relationship, communications, planning, monitoring and teamwork skills. He/she will also provide grant management, business development and reporting support across the Nigeria portfolio. He/She will work closely with program, M&E finance, operations and senior management team (SMT) staff to ensure quality management of both pre and post award grants functions. The position holder will support donor compliance, timely reporting, high quality proposal development, project document filing, preparing donor briefs and donor/internal visibility.

    Grant Management:

    • With the support of the Program Director and Country Director, coordinates the development of project strategies, quality proposals and narrative reports with relevant teams, including acting as lead writer when necessary.
    • Liaise with HQ units (Regional Unit, Awards Management Unit, Technical Units) to ensure proposals meet internal standards and are responsive to donor requirements.
    • Support program staff to assess funding opportunities in line with IMC Nigeria’s strategic objectives and the local context, and advising on these as required.
    • Work with program coordinators and managers to coordinate the timely development of high-quality new funding proposals and reports.
    • Work closely with other members of the grants unit to proactively support grants management processes across the portfolio.
    • Monitor and support the use of grant/project management tools to ensure accurate tracking of opportunities, reporting and programmatic adjustments through the project life cycle including developing log frames and work plans.
    • Provide technical guidance on IMC and donor regulations to ensure compliance across IMC Nigeria, and proactively raising and resolving issues.
    • Together with IMC technical program managers/Team Leaders ensure that projects are implemented as planned and within budget, and in accordance with IMC and global humanitarian policies and guidelines, including Codes of Conduct, SPHERE and HAP principles and standards on accountability to the affected populations.
    • Advise sector program’s managers on program quality, implementation and appropriateness of expenditures.
    • Act as a focal point for HQ grants administration and compliance colleagues, including maintaining submissions on IMC’s online opportunity management tracking system.
    • Perform other duties as may be assigned by the Program Director and the Country Director.  Requests from other members of the SMT, to perform certain duties, is subject to approval/consent of the Program Director.

    Reporting and Communication:

    • Act as custodian of documentation of institutional knowledge and program activities in coordination with relevant sector supervisors and coordinators, and ensure colleagues have access to relevant records and information.
    • Coordinate preparation of monthly, quarterly, final and other donor reports as needed.
    • Consolidate monthly program and financial updates on programs, administrative, finance and logistics matters to share with HQ.

    Donor Relations and Communications:

    • Liaise with active donors and potential donors, and other operational partners and attend meetings to represent IMC and IMC’s interests.
    • Ensure that relevant staff members are aware of all donor communications, changes in regulations and meetings or events and reporting timelines.
    • Maintain up to date comprehensive knowledge of donor guidelines relevant to the Nigeria portfolio, including but not limited to: USAID, BHA, DUTCH, UNICEF, WFP, etc.
    • Along with the country team, facilitate successful donor visits and internal monitoring visits and assessments

    MEAL Roles and Responsibilities

    • Ensure new program proposals adhere to donor requirements and expectations regarding MEAL, demonstrating the country mission’s commitment to quality, accountability, and continual improvement.
    • Ensure the allocation of necessary budget and human resources for implementation of MEAL activities across all grants.
    • Ensure the implementation of MEAL activities in line with donors’ requirements and IMC’s minimum standards.
    • Ensures findings, lessons, feedback and evidences from the previous project cycles guide future program strategy, planning and design.
    • Ensures partner level activities/training pertaining to MEAL are resourced.
    • Ensure MEAL staff and findings are incorporated into program review and planning meetings.
    • Ensure effective use and implementation of MEAL minimum standards across program grants.
    • Provide technical support to MEAL department while developing MEAL strategy for the country mission.
    • Work with the MEAL team to produce sector briefs and program review reports.

    Prevention of Sexual Exploitation and Abuse:

    Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within International Medical Corps and amongst beneficiaries served by International Medical Corps.

    Compliance & Ethics:

    Promotes and encourages a culture of compliance and ethics throughout International Medical Corps. As applicable to the position, maintains a clear understanding of International Medical Corps' and donor compliance and ethics standards and adheres to those standards. Conducts work with the highest level of integrity.

    Job Requirements:

    • University degree or Masters in Public Health, International Affairs, Disaster Response and Management, Social Studies, Sociology, Political Science or a related field.
    • More than 5 years’ experience with an international NGO - managing and/or coordinating large and complex emergency response and development projects.
    • 2-3 years working in grants management and proposal/ business development/ design.
    • Knowledge of donor compliance regulations (BHA, USAID, ECHO, UN agencies, BPRM, EU, GAC, Dutch government etc.)
    • Significant experience in overall program/project senior management, preferably in the health, nutrition, water-sanitation-hygiene, food security and related sectors.
    • Demonstrated and extensive program/project, people, and financial management skills.
    • Ability to effectively work with government, community leaders, international/national organizations, donors, partners and other key stakeholders.
    • Willingness to work additional hours in order to meet tight deadlines.
    • Understanding and ability to work in unstable and multi-cultural environment (cultural sensitivity).

    Key Competencies:

    • Proven previous successful experience in writing proposals and donor reports.
    • Strong leadership skills and communication skills, with excellent written and spoken English.
    • Should be a team player and culturally sensitive.
    • Demonstrated proficiency in computer applications such as word processing, spreadsheets, email and utilization of the internet.
    • Strong leadership, team building, conflict resolution and ability to deliver IMC’s strategic objectives.
    • Extremely flexible, and have the ability to cope with stressful situations.

    Nutrition Project Manager

    International Medical Corps is therefore looking for a suitable candidate to fill the position of Nutrition Project Manager to be based in Damboa.

    Program Background

    The Nutrition Project Manager is to provide leadership and overall management of International Medical Corps (IMC) Nutrition activities in Damboa LGA, Borno State, with the guidance of Nutrition Coordinator. He/She participates in key decision making for the Nutrition program in the operation area as a member of Nutrition team. Together with Nutrition Coordinator and program staff, he/she participates in defining intervention priorities, develop necessary contacts and relationships with government, non-government, donors and UN agencies at the field level. The Nutrition PM will be expected to ensure timely, quality, accountable and protection-sensitive delivery of the nutrition intervention in Damboa in line with the national and international guidelines.
    Main Responsibilities:

    • Overall management of the day-to-day nutrition and nutrition-integrated program activities at Damboa LGA
    • Provide ongoing training for IMC, and SMoH staffs with special emphasis to develop ownership of the program by SMoH staff and build their capacity to sustain the program
    • Coordinate the various program components by ensuring a strong link between Community Outreach, OTP, SC and IYCF
    • Supervise and support the outreach team to implement quality community mobilization for successful outcome of the CMAM program
    • Update the Nutrition Coordinator on the implementation of the CMAM/IYCF-E and Family MUAC approach on weekly basis
    • Conduct joint supportive supervision and capacity assessment of OTP sites with State and LGA nutrition focal persons and incorporate the finding to the monthly progress report
    • Follow up on management of nutrition stocks with the storekeeper/ Pharmacy Officer; monitor rates of consumption and ensure supplies are ordered in a timely manner
    • Ensure all criteria are respected and understood by the teams, including admission, discharge and transfer to and from the various components of the program, all medical and nutritional protocols, and their application/OTP/CG services
    • Lead regular nutrition team management meetings
    • Prepare monthly progress reports and statistic reports and an end-of-project final report for submission to the Nutrition Coordinator
    • Ensure all IMC-supported health facilities are equipped with all necessary tools and materials (e.g., MUAC tapes, weighing scales, drugs, RUTF, counselling cards, referral guides)
    • Facilitate delivery of stipends, other payments to the respective CHVs
    • Ensure that distribution lists and records are properly documented, maintained and filed for future reference
    • Participate in writing of donor proposals for nutrition interventions as necessary
    • On delegation, act in the role of Nutrition Coordinator in his absence
    • Participates in Budget/ Pipeline management meetings for the nutrition activities

    Assist in any other tasks when required

    Coordination:

    • Pro-actively communicate and coordinate with other IMC teams (program and support functions) to ensure safe, timely, effective and accountable achievement of objectives and targets  
    • Represent IMC in meetings relevant to IMC’s Nutrition work in Nigeria, including meetings with partners, donors, government officials and cluster/coordination meetings
    • Ensure IMC’s programming approach is known and correctly understood by all stakeholders at field level
    • Pro-actively liaise and build good rapport with INGO, UN, local authority officials, community representatives, and any other relevant stakeholders in the field contributing to shaping the overall Nutrition strategy of the NE Nigeria response

    Administration: Finances, Human Resources, and Logistics:

    • Routinely monitor staff performance according to their job description and set objectives
    • Provide appropriate and timely feedback to nutrition program staff regarding their performance
    • Assign tasks among the staff according to the variation in workload, holidays, unplanned absences or illness

    Monitoring, Evaluation, Accountability, and Reporting:

    • Integrate MEAL approaches and activities into program plans and operations, outlining how MEAL will be implemented at each stage of the program cycle
    • Support country MEAL team in establishing MEAL system, data collection tools, and a formal mechanism to capture, monitor, respond to and act on feedback and complaints from communities
    • Ensure all staff and volunteers receive basic communication and complaint handling skills training
    • Ensure their staff know how to receive, record, and refer (to the CBFRM) feedback and complaints should they be approached by a member of the community
    • Ensure their staff know how to provide basic informed consent (explaining what happens to feedback/complaint, timeline, how they can contact IMC, how/when they should receive a response from IMC, rights/limitations regarding anonymous complaints, etc.).
    • Based on findings, lessons, feedback and assessment data generated from MEAL system, identify and utilize the best approaches to provide communities with relevant and actionable life-saving and life-enhancing activities and information

    Prevention of Sexual Exploitation and Abuse:

    Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within International Medical Corps and amongst beneficiaries served by International Medical Corps.

    Qualification and Experience:

    • Masters’ university degree with a minimum of 5 years’ experience in Public Health, Nutrition and Dietetics, Community extension work or any related field
    • MBBS / Bachelor Degree with 5 years’ direct nutrition program work experience and implementation of nutrition intervention programs
    • Understanding of nutritional surveillance and information systems
    • Proven ability and experience in planning and conducting formal training session on nutrition including CMAM and IYCF
    • Proven capacity to supervise, train and coach local staff and community workers
    • Excellent communication skills and a willingness to be respectful, kind, sensitive and empathize with children and their care takers
    • Willingness and capacity to be flexible and accommodating when faced with difficult and frustrating working conditions
    • Prepared to live and work in an uncertain security environment
    • Proven ability to build external relationships with diplomacy, tact and professionalism in a complex and demanding environment.
    • Strong report writing and computer skills
    • Fluent in written and spoken English and Hausa
    • Commitment to and understanding of IMC’s aims, values and principles
    • Computer literate in Word, Excel and PowerPoint
