    Project Manager

    Responsibilites

    • Regularly analyze the context, risks, operational access issues and availability of resources, about project objectives, and define support requirements to ensure effective implementation.
    • The support project team ensures that the individuals work effectively together as a team to achieve the project objectives.
    • Provides leadership and management to the project team.
    • Line manages project team, including regular performance management and appraisals.

    Protection Officer

    Job Description

    • Coordinate the activities of the Protection Officers and GBV Officers across the project locations
    • Regularly verifies the status of the case management database, conduct case reviews, and provide feedback to the Protection Officers, ensuring that cases meet and maintain compliance with established SOPs and minimum standards in case management.
    • Supports the planning, implementation, and reporting on all protection activities via project work plan, schedules, team management and the availability of materials, supporting a positive team dynamic and a healthy work environment.
    • Ensures an equal division of the overall workload, timely follow-up on targets and flag issues to the Project Manager.
    • Provides individual supervision sessions on a regular basis to each Protection Officer, supporting and coaching them on their duties using various methods; enabling their ability to find solutions and respond appropriately to daily challenges.
    • Compiles all reporting on case management, general protection activities and PSS activities as per GEPaDC and donor reporting regulations and transmit these on a regular basis to the Program Manager.
    • Supports the MEAL team in the compilation of the monthly 5Ws, GBVIMS, CPIMS reports, and other reports as needed.
    • Oversees the proper and safe filing, archiving, and information-sharing of case management files to maintain data confidentiality as per GEPaDC and international standards.
    • Ensure that all teams are trained in data protection and confidentiality; and enforce the adherence to protection principles, codes of conduct and internal SOPs.
    • Carries out all tasks respecting key protection principles, including but not limited to; do no harm; non-discrimination; confidentiality, accountability, and; need-to-know principles.
    • Contribute to the design and execution of project assessments, regular service mapping, updates to the service directory, the development of referral systems per area, and project data collection (surveys, pre and post-tests, etc…).
    • Identifying Protection trends and reporting gaps in the availability, access and quality of protection services in the assigned area;
    • Flags protection and security issues and contributes to the identification of appropriate responses via regular data review and the submission of protection reports.
    • Harmonizes guidance and support for the planning and implementation of awareness-raising activities, focus group discussions, and PSS activities in the WGFS, CFS and training workshops.
    • Participate in external meetings, representing GEPaDC as needed, with an emphasis on training on protection monitoring, general protection trends, and challenges.
    • Supports the development, updating and local adaptation of protection tools and training material and delivers step-down training on these as needed for the field.
    • Supports donor reporting and project development and protection strategies at the macro level as required.
    • Directly supervise the child protection officers, GBV Officers and EMAP Officers

    Customer Relationship Manager

    Responsibilities

    • Establish and manage the complaint and feedback mechanism for the project component by GEPaDC
    • Receive complaints and feedback and respond to enquiries at the complaint desk at program sites.
    • Build staff awareness and commitment to a complaint mechanism, ensuring that all SOPs and GEPaDC core values are respected.
    • Refer program-specific complaints to MEAL Officer and SMT for follow-up.
    • Build staff awareness and commitment to a complaint’s mechanism.
    • Ensuring that all SOPs and organizations/donors' core policies are respected.
    • Ensure regular maintenance of complaints and feedback database/ information System and ensure information is shared on a regular basis.
    • Carry out regular community feedback functions, ensuring that all SOPs and GEPaDC core policies are respected.
    • Maintenance of an effective record and filing system for all complaints solved and pending issues including correspondences.
    • Lodge all feedback, complaints, and response in the CFM database.
    • Support to ensure complaints are closed within the appropriate timeframe including those reported from the GEPaDC toll-free line.
    • Ensure the CFM database is forwarded to the MEAL officer on a monthly basis and important complaints from complaint desks and suggestion boxes are reported immediately.
    • Provide accurate information related to the subject beneficiary matter and other related ongoing activities.
    • Ensure accurate recording of all the data related to the beneficiary.
    • Submit internal, and accurate reports to the concerned program focal person. The reports will be submitted weekly, or daily according to the urgency of the complaint; include monthly recommendations, if needed, to MEAL Coordinator and Senior Protection Officer as received.
    • Accurately refer cases internally within the departments - with the support of the MEAL Officer- following the standard operating procedures set for the referral system within GEPaDC.
    • Follow up and receive weekly feedback and case status progress related to the internal cases referred to the projects.
    • Ensure all documents and actions taken are documented, and feedback is given back to the beneficiary.
    • Regular field visits and work with Protection and GBV Officers in the collection of complaints and feedback to the complainants.
    • Perform any other responsibility assigned by Line manager

    M&E Officer

    Job Description

    • Developing and implementing monitoring and evaluation frameworks and systems.
    • Collecting, analyzing, and interpreting data to assess program effectiveness.
    • Conducting evaluations and impact assessments to measure program outcomes.
    • Preparing and presenting reports on monitoring and evaluation findings.
    • Collaborating with program teams to ensure data collection and reporting compliance.
    • Recommending improvements and modifications to program strategies based on evaluation findings.
    • Keeping up-to-date with monitoring and evaluation best practices.
    • Coordinate the collection, compilation, consolidation, and analysis of data to track programs/project activities, monitor progress, and support impact measurement.
    • Establish and ensure better data management systems for the organization.
    • Directly oversee and line manages the M&E Officers and CRM Officer.
    • Support on planning and managing internal or external program evaluations.
    • Coach, train, supervise and mentor direct-report staff, including communicating clear expectations, setting annual performance objectives, providing regular and timely positive and constructive performance feedback, and providing documented semi-annual performance reviews.
    • Conduct regular field visits to track progress against indicators and put in place systems for routine data quality checks and validations
    • Update the MEAL plan timely and provide feedback to program staff on the status and quality of implementation.
    • Develop indicator reference sheets, including a list of operational definitions of what is being counted for each indicator and develop appropriate data collection tools for the Humanitarian Response Program programmatic indicators.
    • Work in close collaboration with the Program Manager, and MEAL Managers from other members of the Consortium to develop an overall M&E framework for the Program.
    • Conduct regular field visits to track progress against indicators and put in place systems for routine data quality checks and validations
    • Actively participate in M&E meetings with key stakeholders and other external meetings.
    • Support the development of M&E reports and documentation of learnings across projects.
    • Perform other tasks as required by the Program Manager.
