    Finance Operations Manager

     JOB SUMMARY

    • The Finance and Operations Manager is responsible for developing, managing and implementing financial, operational processes and policies of CPHI to ensure that they are relevant and functioning efficiently and effectively, compliant with CPHI financial system, policies and procedures, donor requirements and national legislation.
    • The incumbent will monitor and proactively detect risks and opportunities and bring these to the attention of management and to ensure that operational and financial service support to the programme is adequate and timely.
    • The incumbent will build capacity of the functional finance and operations team and to ensure the team has appropriate skills to perform assigned tasks efficiently and effectively.

     KEY RESPONSIBILITIES:

      FINANCE 

    • Maintain financial systems (Quickbooks) that record and report on financial activities and provide information and projections for strategic and operational decision-making. This includes management accounts, budgets, forecasts, and reports on activity for CPHI’s operational costs. 
    • Support the development of the annual budget (and subsequent quarterly forecasts) in conjunction with the grants and budget manager and the Executive Director and ensure the ongoing adherence and management of these budgets/forecasts. 
    • Working with the Finance officers to execute payment, invoicing, bookkeeping, and banking activities, maintain up-to-date computerized records, and maximize the use of the financial software system. 
    • Manage and oversee the accounting team in their execution of all accounting functions, including general ledger, accounts payable, payroll, bank reconciliations, and monthly closings. 
    • Review and manage (and establish as needed) internal systems, controls, processes, and procedures to ensure the integrity, accuracy, compliance, and usefulness of financial information and reporting. 
    • Ensure routine accounting and operations data backup with data retention policies 
    • Continuous assessment of the existing structures, policies, processes, documents, quality controls, and practices in the Finance Department. 
    • Ensure the annual tax return is completed on time and payments are made according to the agreedupon schedule. 
    • Manage the relationship with CPHI’s external auditors, manage the year-end process, external audit, preparation of annual financial statements, and sign-off from relevant stakeholders. 

    GOVERNANCE 

    • Ensure CPHI complies with statutory and legal requirements, including statutory reporting, completion of the annual report, and the maintenance of relevant registers and organizational books. 
    • Provide advice to the Board and Executive Director on any legal responsibilities prevailing upon the organization. 
    • Organize and prepare/co-ordinate the agenda and content for the Audit and Risk Committee (ARC) and contribute as a committee member. 
    • Maintain the risk register for regular review by the ARC 

    HR 

    • Line management responsibility for the Finance officers, including regular 1-2-1’s, performance reviews etc. 
    • Manage the payroll developed by the HR team, ensuring employees are paid in accordance with contracted agreements and legal requirements 
    • Manage the workplace pension scheme and relationship with other organizations, contributing to the total remuneration package of employees. 

    OPERATIONS 

    • Supervise the fleet management, inventory, safety, and security of CPHI’s properties, ensuring alignment with organizational policies and objectives 
    • Provide reports as required for other purposes,  including for Board and management meetings and other ad hoc purposes

    QUALIFICATIONS AND ESSENTIAL COMPETENCIES:

    • Bachelor’s degree in Finance, Accounting, or related discipline.
    • ACCA or ICAN professional qualification is required.
    • Minimum of 7 years’ work experience, with at least three years in a managerial position.
    • Experience working in a Non-profit Organization
    • Excellent IT skills with high proficiency in MS Office (Word, Excel, PowerPoint).
    • Good analytical and reporting skills.
    • Excellent interpersonal, supervisory and communication skills.
    • Auditing experience will be an added advantage
    • Good capacity building and facilitation skills. 
    • Working knowledge of Accounting software (QuickBooks).
