    Logistics Associate

    Overall Responsibility:

    The Logistics Associate will play a key role in supporting the Operations Officer in the management and tracking of all travel-related logistics within the organization. This includes the coordination, purchasing, and monitoring of travel tickets for staff and other relevant stakeholders. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

    Specific Responsibilities:

    • Coordinate with staff to understand travel needs and preferences.
    • Source and book travel tickets (air, road, rail, etc.) in a cost-effective and timely manner.
    • Ensure that all travel bookings align with the organization’s travel policies.
    • Maintain a comprehensive tracking system for all travel tickets, including details such as cost, dates, destinations, and traveller information.
    • Regularly update the travel tracking system and provide reports to the Operations Officer.
    • Identify and report any discrepancies or issues in travel bookings or expenses.
    • Liaise with travel agencies, airlines, and other vendors to negotiate rates and ensure the best deals for the organization.
    • Review and process all invoices received from travel agents.
    • Manage relationships with travel vendors and resolve any issues related to bookings or payments.
    • Ensure all travel arrangements comply with the organization’s policies and procedures.
    • Stay informed about travel-related regulations and advisories and communicate relevant information to staff.
    • Maintain accurate and up-to-date records of all travel-related documentation.
    • Prepare and submit necessary documentation for reimbursements or other financial processes. 
    • Provide administrative support related to travel logistics, including preparing itineraries, handling travel-related inquiries, and assisting with visa applications.
    • Support procurement unit on distribution of program materials to various states.
    • Assist the Operations unit with other logistics tasks as needed.

    Requirements

    • Bachelor’s degree in business administration, Logistics, or a related field (or equivalent experience).
    • Minimum of 2 years of experience in logistics, travel coordination, or a related field.
    • Experience with travel management systems and vendor negotiations, a plus.
    • Strong organizational and time-management skills.
    • Excellent communication and negotiation abilities.
    • Proficiency in MS Office, particularly Excel, and experience with logistics or travel management software.
    • Ability to work independently and as part of a team.
    • Attention to detail and a proactive approach to problem-solving.
    • Ability to manage multiple tasks and prioritize effectively.
    • Strong analytical skills and attention to detail.
    • Flexibility and adaptability in handling various tasks and challenges.
    • Customer-focused mindset with a commitment to providing high-quality support.
    • Some tasks may need to be performed outside regular working hours, depending on the urgency of travel arrangements.
    • Proven ability to perform in a multicultural working environment.
    • Team player and good communicator with a proven ability to motivate people.
    • Fluency in English.
    • Willingness to commit and adhere to Helen Keller’s values and mandates
