    Personal Assistant to Executive Director

    RESPONSIBLE TO: EXECUTIVE DIRECTOR

    SUMMARY OF RESPONSIBILITES

    Provide administrative support, ensuring the executive’s time is optimized and their tasks are accomplished efficiently

    MAIN FUNCTIONS:

    • Manage the executive's calendar, coordinating appointments, meetings, and events.
    • Ensure timely reminders and notifications.
    • Handle email, phone calls, and mail correspondence, filtering and prioritizing messages.
    • Draft and send emails, letters, and other documents on behalf of the executive.
    • Receive, prioritize, and execute tasks assigned by the executive.
    • Coordinate with other departments to complete tasks and projects.
    • Prepare travel itineraries and ensure necessary documents are in order.
    • Prepare reports, presentations, and other documents as requested.
    • Edit and proofread documents for accuracy and grammar.
    • Maintain confidentiality and handle sensitive information with discretion.
    • Conduct research on various topics as requested.
    • Enter data into databases or spreadsheets as needed.
    • Prepare meeting materials, agendas, and minutes.
    • Coordinate with attendees and ensure necessary equipment is available.
    • Assist with special projects, such as event planning, research, or data analysis.
    • Oversee the executive's office, ensuring organization and tidiness.
    • Manage office supplies and inventory.       
    • Ensure good communication flow by disseminating information promptly.
    • Provide accurate and excellent filling and retrieval system.
    • Carry out related duties that may be delegated to her by the Executive Management

    PERSON PROFILE/EXPERIENCE PERSON REQUIRED

    • Bsc/Hnd in Communication, English etc Proven experience as a personal assistant or in a similar role.
    • Excellent communication, organizational, and time management skills.
    • Ability to maintain confidentiality and handle sensitive information.
    • Proficiency in Microsoft Office and Google Suite.
    • Strong problem-solving and analytical skills.
