    HSE Reporting Coordinator

    Job Summary

    • Responsible for surveillance and reporting on health and safety practices and systems within the Project.
    • Analysis to prevent incidents and precautions against, or adequate control of, exposure to hazardous substances, and danger from flammable, explosive, electrical, noise, radiation, and manual handling risks. Shall ensure that project activities comply with COMPANY rules & Project procedures.

    Main Responsibilities:

    • Collect all HSE information (Inspection and incident report, anomalies, audits, walkthroughs, Management visits, etc.) from all Project Site (Ubeta Well pad, OGP, OFS, etc.)
    • Input all HSE information (actions from HSE reports, anomalies, incidents) into Synergi.
    • Prepare monthly HSE statistical report.
    • Follow up on all HSE actions entered in Synergi until they are closed out.
    • Issue reminder to personnel on action(s) from Synergi.
    • Ensure the functioning of Synergi software on the Project.
    • Assist in providing training for HSE supervisors on Synergi.
    • Liaise with the company HSE Coordinator for statistical analysis to ensure adequate prevention of incidents.
    • Maintain a file of all HSE reports and actions (Audit, Inspection, Incidents, and anomaly).
    • Ensure that the Project HSE reporting procedure is fully implemented on all Project Sites
    • Liaise with the Contractor to get Contractor HSE information (Reports, Man-hours)
    • Maintain Site Health, Safety, and Environmental records and organize and participate in audits to ensure the effective implementation of HSE rules on site.
    • Participates actively in all HSE Committee meetings, site planning, and coordination meetings.
    • Participate in preparing works and operations, checking that comprehensive incident mitigation measures are enforced.
    • Participate in site environmental audits, and monitor, follow up, and assess any agreed corrective recommendations and ensure their implementation.
    • Participates actively in all HSE Committee meetings, planning and coordination meetings as well as contributing to defining ways and means to identify/minimize risks and the impact of activities, especially SIMOPS.
    • Advocate adequate levels of anomaly reporting amongst the workforce to mitigate against incidents.
    • Collate and submit periodic reports on various subjects required to the HSE Coordinator.
    • Participate in investigations into accidents, incidents, and near-misses to determine root causes and implement corrective actions to prevent reoccurrence.
    • Foster a strong safety culture throughout the organization by encouraging safe behaviors, recognizing achievements, and promoting open communication.
    • Maintain accurate and up-to-date records of safety inspections, anomalies, incidents, training, and other HSE-related activities.
    • Track and report HSE performance metrics to management, identifying trends and recommending actions to improve performance.
    • Continuous Improvement: Continuously seek opportunities to enhance the HSE management system and promote a safer and more sustainable working environment.

    Educational Qualifications & Experience

    • Bachelor’s degree in Engineering, Environmental, Geological or Sciences, Occupational Health
    • Min. 5 years of professional experience
    • Min. 5 years of project experience within the Oil and Gas industry
    • Industrial construction field experience with in-depth HSE fieldwork
    • Good knowledge of ISO 45001 and ISO 14001 Standards
    • Good knowledge of the Synergi tool
    • Proficiency with Microsoft applications

    Document Controller

    Job Summary

    • The job holder is responsible for all the activities related to documentation control for the project.
    • The primary objective is to ensure that all documents (correspondence & technical) produced by the Project team or by Contractors and Vendors during the life of the project are developed and managed following the Project Document Control procedures.

    Main Responsibilities:

    • In a general manner, to provide assistance to the Project Management for all matters related to Document Control on the Project.
    • To define, develop, implement, and maintain a Documentation Management plan detailing the strategy adopted, the organization set-up as well as the means and tools defined accordingly.
    • To implement and maintain procedures, specifications, means, and tools required to ensure efficient management of all flows of documents either on an electronic form or on paper form during all the phases of the Project.
    • To liaise with concerned Corporate Departments for the setting-up, implementation, and maintenance of the EDMS within the Project, and coordinate with departments as necessary for the management of correspondence (mainly correspondence with Partners and authorities).
    • To participate in the implementation of the Documentation Management system at Contractors’, setting up and explaining rules and procedures.
    • To participate, as necessary, in the Documentation Control and Management, including training of personnel to procedures/specifications/tools.
    • To perform constant analysis of produced documentation to check for compliance with Project standards regarding numbering, graphic charts, used symbols, and all other aspects related to document quality.
    • To define, set up, validate, and maintain necessary means and tools for the timely preparation of the handover of documentation to the Operations team.
    • To timely report to the Project Control Manager, highlighting progress and encountered areas of concern.
    • To observe and impose strict confidentiality in the performance of the documentation management during the tendering phase and in a general manner all along the course of the Project

    Educational Qualifications & Experience

    • HND or a University degree in any social science field    
    • 10 – 20 years of Professional Experience        
    • Sound knowledge of Documentation management through EDMS

    Material Logistics Coordinator

    Job Summary

    • Supervision and Coordination of all activities related to the movement of project materials to/from construction yards (onshore) to/from SITE. Optimize the logistic means on-site to guarantee efficiency on priorities and emergencies, in coordination with all CTRs, CPY, and third parties.

    Main Responsibilities:

    • Coordinate and expedite the flow of materials, parts, and assemblies between sections or CTRs/CPY, according to project construction and shipping schedules or CPY/CTR priorities, and compile and maintain manual or computerized records.
    • To provide real-time and weekly updates of material in/out flow between WORK SITE, SITE, and warehouses.
    • To review construction schedules and related information and check with construction supervisors to determine material requirements, identify overdue materials, and track materials.
    • To provide the single point of contact for all EPC CTR Onshore and Offshore.
    • To liaise between TECHLOG, Contractors, and services vendors on various material movements/needs.
    • Requisitions material and establishes sequential delivery dates to CTR yards, sites, and offshore, according to job order priorities and material availability.
    • To examine materials delivered to CTR yards or project sites to verify conformance to specifications.
    • To arrange CTR yard – Offshore transfer of materials to meet project construction schedules.
    • To compute the amount of material required to complete job orders, applying knowledge of product and manufacturing processes.
    • To compile and maintain manual or computerized records, such as material inventory, in-project construction reports, and status and location of materials.
    • May move or transport materials from one EPC CTR to another, manually or using material handling equipment.
    • To prepare, in collaboration with the Project Management and the JV Affiliate, the policies and strategies that will dictate project material management procedures.
    • May arrange for repair, assembly, monitor, and control movement of material and parts.
    • To prepare the material reception plan within the overall construction strategies and schedules.
      To establish, in collaboration with the Project Management and the Site Materials Control Procedures and ensure that the plan provides for adequate manpower and facilities, to perform the following: 
      a)    Site warehousing organization and approach    
      b)    Warehouse size    
      c)    Warehouse layout, equipment, and racking requirements    
      d)    Lay down area requirements
      e)    Material handling equipment
      f)    Material handling manpower
      g)    Safety program.
      h)    Traffic flow.
      i)    Workspace.
    • Small tool and equipment requirements – for the WORK SITE and SITE.
    • Ensures all material and equipment is properly handled, controlled, stored, and maintained by project procedures, specifications, and vendor requirements.
    • Supervises with the Stock Ctrl the UNISUP activities (including Good receipt (stock) and inbound delivery (Shipping))
    • Supervises the HSE and QAQC Pre-inspection for non-stock items. 
    • Ensures safe and efficient working practices are implemented during the loading/discharging operations

    Educational Qualifications & Experience

    • HND or Degree in Engineering or its equivalent            
    • 5 – 10 years of Professional Experience

    Site Project Administrator

    Job Summary

    • The job holder is responsible for the general administration, secretarial, and related logistics matters for one or several Project teams specifically working at the Site.
    • The job holder is also accountable for demonstrating exemplary behavior about HSSE Rules and other requirements at the Site.  
    • The job holder reports to the Construction Manager and functionally to the Project Control Manager.

    Main Responsibilities:

    • In a general manner, to provide assistance to the Project Management for all matters related to general administration, secretarial, and related logistics matters at the Site for the Project.
    • To organize and follow up on Site Management. 
    • To type/register/manage outgoing correspondences or any paperwork for the Project Management team as requested.
    • To manage and order necessary office supplies required at the Site.
    • To organize or assist the organization of meetings and associated logistics (internal meetings/meetings with Partners/Contractors or special events)
    • To receive/dispatch/register/manage information and correspondences.
    • To welcome and guide visitors to the Site,
    • To assist in the organization of the arrival of newcomers and departures (assignment of offices, IT, and phone equipment…)
    • To organize and manage the accommodation of personnel at the Site, and the assignment of rooms to personnel.
    • To interface between Project and Contractor Admin in the areas of accommodation and other related admin matters
    • To manage the rotation schedule of Company and Contractor Personnel

    Educational Qualifications & Experience

    • Technician or equivalent with sound knowledge in Documentation management through EDMS
    • 5 – 10 years of professional experience
