    Accounting Data Entry Clerk (Ad-Hoc / Contract Staff)

    Responsibilities

    • Assisting with the processing of invoices and payments
    • Processing of transaction journals on SAGE Accounting
    • Ensuring that all payments and receipts are updated daily on SAGE
    • Acounting so that all financial accounting transactions are reflected in the trial balance,
    • Assistance with the documentation on the debtors and creditors to support age analysis report
    • Work with the Procurement Team to ensure alignment of records
    • Work with the Billings and Reconciliation Teams to ensure alignment of records
    • Work with the Admin/HR Team to ensure alignment of records
    • Work with the Inventory Management Team to ensure alignment of records
    • Support in the reconciliation of balance sheet accounts
    • Provide assistance on reports to analyze trends
    • Providing daily support on all outstanding queries from the suppliers and customers as and when required.
    • General assistance to the Business & Financial Accountant.
    • And any other Ad hoc accounting dutie

    Procurement Officer

    Job Description

    • Develop and implement procurement strategies aligned with the hospital's goals and objectives.
    • Collaborate with department heads to identify procurement needs and forecast demand.
    • Conduct market research to identify potential suppliers, evaluate product quality, and negotiate favorable terms.
    • Identify, assess, and select reliable suppliers and vendors.
    • Negotiate favorable terms and conditions with suppliers to ensure cost-effectiveness, quality, and timely delivery.
    • Establish and maintain strong relationships with key vendors.
    • Negotiate contracts for goods and services, ensuring compliance with legal and regulatory requirements.
    • Collaborate with legal and finance teams to review and finalize contracts.
    • Oversee the end-to-end procurement process, including requisition processing, purchase order issuance, and invoice verification.
    • Implement best practices for procurement efficiency and cost savings.
    • Monitor and manage inventory levels to prevent shortages and excess stock.
    • Ensure compliance with relevant laws, regulations, and hospital policies.
    • Identify and mitigate procurement-related risks.
    • Conduct regular audits to assess and improve compliance.
    • Collaborate with department heads to develop procurement budgets.
    • Monitor and control procurement expenditures to ensure alignment with budgetary constraints.
    • Stay informed about market trends, new products, and industry innovations.
    • Conduct regular market research to identify potential suppliers and cost-saving opportunities.
    • Prepare and present reports on procurement activities, cost savings, and vendor performance.
    • Utilize data analytics to drive informed decision-making and process improvements.
    • Other tasks as assigned by your Line Manager and the Head of Department.

    Minimum Qualifications

    • Bachelor’s Degree in Business Administration, or any Management related field.
    • Professional training/certification in procurement and supply chain is desirable.
    • Minimum of 2 years’ experience as Procurement Officer
    • Experience inhospital setting is desirable.
    • In-depth knowledge of procurement regulations, policies, and procedures.
    • Strong negotiation, communication, and interpersonal skills.
    • Excellent analytical and problem-solving abilities.
    • Proficiency in procurement software and Microsoft Office Suite.
    • Detail-oriented with a focus on accuracy and quality.
    • Ability to work independently and collaboratively in a fast-paced environment.
    • Strong organizational and time management skills.
    • Ethical and principled approach to procurement practices.
    • Ability to adapt to changing priorities and deadlines.
