    Executive Assistant

    DESCRIPTION:

    DKT International Nigeria is seeking a qualified Female Executive Assistant to support the Country Director. The role involves providing top-tier administrative support, including managing schedules, communications, and various tasks to ensure seamless operations. The Executive Assistant will serve as the main point of contact for both internal and external stakeholders, efficiently handling inquiries and requests with professionalism and promptness.

    Key Accountabilities/Responsibilities

    1. Administrative Support:
      • Manage calendars, schedule meetings, and arrange appointments.
      • Handle correspondence: emails, memos, letters and reports that require feedback.
      • Prepare documents, reports, and presentations for the Country Director.
      • Documenting and communicating decisions and actions discussed during meetings.
      • Organize travel arrangements including flights, accommodation, and itineraries.
    2. Communication:
      • Serve as the primary point of contact between the Country Director and internal/external stakeholders.
      • Manage incoming and outgoing communications, ensuring timely and appropriate responses.
      • Screen and direct calls and distribute correspondence.
    3. Organizational Tasks:
      • Coordinate and manage events, meetings, and conferences.
      • Ensure the Country Director is prepared for meetings with relevant documents and information.
      • Maintain and organize office filing systems, both electronic and physical.
    4. Personal Tasks:
      • Assist with personal tasks and errands as needed, such as shopping and organizing personal schedules.
      • Maintain confidentiality and discretion at all times.
    5. Project Management:
      • Coordinate with various departments and stakeholders to ensure project deadlines are met.
      • Assist with special projects and initiatives as needed.
    6. Financial Management:
      • Handle expense reports and budget management for the office of the Country Director.
      • Process invoices, receipts, and other financial documents.

    Qualifications:

    • Education: Bachelor’s Degree in fields like Business Administration, Communications, or related disciplines.
    • Experience: At least 3 years proven experience as an Executive assistant or similar role.
    • Skills:
      • Excellent organizational and time-management skills.
      • Strong written and verbal communication abilities.
      • Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
      • Ability to multitask and prioritize daily workload.
      • High level of discretion and confidentiality.
      • Ability to work with diverse teams, and provide support to other staff.

    Working Conditions:

    • The position may require flexibility in hours, with potential for overtime or weekend work based on the Country Director’s needs.
    • Some travel may be required for business or personal errands.

    Personal Attributes:

    • Proactive and self-motivated with a positive attitude.
    • High level of integrity and reliability.
    • Ability to remain calm under pressure.

    Salary:

    • Salary will be commensurate with the candidate's experience and qualifications
