    Group Protocol and Logistics

    JOB DESCRIPTION

    The ideal person is expected to oversee local and international travel arrangements, event & airport protocol, fleet & driver management, visa processing, hotel bookings, airport pickups etc. Management execs and key staff.

    Key Duties and Responsibilities

    1.      Travel (visas, hotel booking, airport protocol etc.)

    Facilitate the travel (visas) of management and staff members going to other countries on official trips - secures their visas, medical insurance information for all travels including itineraries related to flights, hotel accommodation, etc.

    • Help with ticketing and reservations
    • Procure clearance tags at the airport
    • Manage correspondences with international business aviation companies- private jet operations
    • Relate with immigration authorities and airport securities for clearance of staff and
    • Ensure speedy passage through airport – staff and luggage
    • Make airport arrangement pick up and drop; supervise escort patrol
    • Protect staff from extortion or harassment by airport authorities
    • Transferring passengers through the airport
    • Build and maintain cordial relationships with various Government agencies at international and domestic airports to facilitate effective meet and greet services

    2. Airport and Events protocol

    • Assist the Head of Security in planning protocols for staff and management attending public/private events – before, during and after
    • Assist the Head of Security in ensuring adequate security at public outings
    • Work closely with the Head of Security for surveillance before events to prepare sitting areas, prevent crowd control, liaise with security agencies at events
    • Send invitations and make arrangements to receive external visitors; plan for their reception, accommodation, etc.

    3. Drivers/fleet management

    • Manage and supervise all office drivers
    • Oversee fleet management of all office vehicles and bikes, including scheduling drivers in charge of pick-ups and drop offs whilst providing itinerary information
    • Ensure that vehicles are maintained, fueled and serviced accordingly with zero or minimal downtime
    • Ensure that all drivers are kept up to date with relevant information
    • Maintain a vehicle maintenance spreadsheet for each vehicle
    • Oversee vehicles licenses and other related renewals
    • Supervise the training of drivers

    Qualifications
    Knowledge and Skills

    • Degree in Social Sciences/Business Administration
    • IATA certification is an added advantage
    • Degree in Logistics is an added advantage
    • Exhibit a high level of initiative, confidentiality, objectivity, integrity and commitment
    • 5 -7 years working experience in the travel/logistics/protocol industry with good working knowledge of ticketing and travel logistics
    • Extensive knowledge of the airline industry and the foreign embassies/visa processing agencies
    • Good diplomacy skills and tact in dealing with team members, drivers and colleagues
    • High attention to details and a team player
    • Highly organized

    Head Of Communications

    SUMMARY

    This position manages the public relations aspect within an organization, builds and sustains a company's reputation for quality, reliability, and customer satisfaction, writes and delivers press releases and handles all communication sent to the public. She/he will develop communication strategies for delivery of corporate culture and business strategy, manage media relations and maximize media opportunities, develop strong relationships with media reps.

    This role covers not just the oil & gas company but other sister company brands – A ministry, NGO that carters for widows & orphans, A women empowerment foundation, A printing press, A property development company and the Vice Chairman’s personal brand.

    RESPONSIBILITIES

    • Manage company brand
    • Develop internal and external publications such as newsletters, press releases, email announcements, planned publications, intranet, videos, special projects and assignments
    • Create rich and creative content that is optimized for search engines
    • Ensure the public views the organization favourably.
    • Implement brand initiatives and strategies online
    • Coordinate and implement social media marketing communication projects, with responsibilities that include social media advertising and creating brand awareness
    • Website management with regular content update in line with various marketing campaigns of the group
    • Manage social media pages, including fan page building, daily monitoring, posting, and content development
    • Contact members of the media to set up interviews with company reps
    • Ensure that, all communications for the VC and management are fully vetted
    • Determine communication strategy and execute programs to deliver communications objectives throughout the organization
    • Develop communication strategies for the delivery of corporate culture and business strategies.

    OTHER DUTIES

    • Internally, the head of communications will ensure that employees are aware of changes and projects within the company.
    • Distribute executive messages, prepare presentations, and conduct meetings to share information.
    • Develop print materials and branding strategies for employee use.
    • Externally, the head of communications will represent the organization to stakeholders, interested parties, and the public. Will serve as the company spokesperson to the media and the general public.

    Qualifications
    QUALIFICATIONS

    • A bachelor's degree in relevant field
    • Minimum of 10 years relevant experience, preferably in corporate communication in the oil and gas industry.
    • Interpersonal communications, as well as language and media studies.
    • Existing connections and relationships with the oil and gas industry stakeholders
    • Research, writing and proofreading skills to ensure all materials are high quality and accurate.
