    Driver & Personal Assistant

    Job Description and Objectives

    • The Driver and Personal Assistant will work directly with the Principal primarily as a Driver while functioning in a secondary capacity as a Personal Assistant to the Principal.
    • In their capacity as a Driver, s/he is expected to drive the Principal to various destinations as required while ensuring that assigned vehicles are used and maintained in line with the Client fleet policy.
    • In their capacity as Personal Assistant, S/he is expected to perform clerical and administrative tasks on behalf of their Principal.

    Technical Responsibilities
    Driving / Commuting:

    • Act as a dedicated chauffeur to the Principal or other designated passengers
    • Be solely responsible for conveying the Principal to all locations, except otherwise advised
    • Ensure timely but uneventful arrival of the Principal at locations
    • Ensure all logistics needs of the Principal are met routinely and timely
    • Seek security clearance for all routes on behalf of the Principal
    • Ensuring that all conversations and information of the Principal’s accessed on the job remain confidential

    Vehicle Management:

    • Ensure that the vehicle is cleaned and ready for use at all times
    • Ensure routine fueling of the vehicle
    • Perform vehicle inspections and ensure that all motor parts are always in good condition and in compliance with the fleet management policy
    • Work with the designated maintenance garage to ensure the vehicle is road worthy and in good condition at all times
    • Report all vehicle faults to the Head of Admin for approval for diagnosis and repairs
    • Ensure that the relevant vehicle management tools like log sheets and vehicle checklists are completed daily for the vehicle
    • Perform other tasks as required or assigned by the Principal

    Personal Assistant Responsibilities:

    • Provide sophisticated calendar management for the Principal
    • Perform all administrative and clerical tasks assigned him/her by the Principal
    • Know and manage the itinerary of the Principal as required
    • Run errands and provide up-to-date security intel to the Principal
    • Take accurate and comprehensive notes at meetings on behalf of the Principal, when required
    • Receive visitor calls from the security unit and communicate directly to the Principal, in the most professional manner
    • Act as a liaison between the Principal and internal and external sources in coordinating logistics for high-level meetings and making travel arrangements
    • Manage inventory for the office of the Principal
    • Manage databases and filing system
    • Prepare internal and external letters and documents, including meeting plans and notes on behalf of the Principal
    • Manage retirement of expense reports for the office of the Principal
    • Provide event management support as requested
    • Provide hospitality to guests and create a welcoming environment in the office of the Principal
    • Coordinate with the admin team to arrange domestic and international travel and logistics for the Principal
    • Perform other tasks as required or assigned by the Principal

    Required Competencies
    Core Requirements:

    • Neat and smart appearance;

    • A clear understanding of the time commitments of the role and a willingness to align his/her schedule to that of the Principal being supported;
    • Ability to deal professionally with unforeseen circumstances or delays;
    • Defensive driving skills. Must be able to drive in a security-compromised situation;
    • Highly confidential, trustworthy and fast thinking;
    • Demonstrated strong critical thinking, problem-solving, and self-leadership abilities;
    • Good computer usage skills with familiarity in Microsoft® suite package and a Vehicle Management Software (VMS);
    • Good interpersonal and communication skills;
    • Emotional Intelligence for stakeholder management
    • Excellent organizational and multitasking skills with the ability to handle conflicts;
    • Fast learner, open to learning from peers, subordinates, and supervisors collaboratively and at a rapid pace;
    • In-depth knowledge of vehicle maintenance

    Education and Experience

    • Academic Qualification: Minimum of a National Diploma or its equivalent in Logistics, Business Administration or Humanities;
    • Professional Qualification: Possession of Trade Test Certificate I or II will be advantageous;
    • Experience: Minimum of 5 years of progressive experience in Driving and Logistics management

    Responsibilities
    Capacity Development, Training, and Upskilling Program (CAPTRA):

    Strategic Partnerships:

    • Identify, cultivate, and establish strategic partnerships with educational institutions, industry associations, and other relevant organizations to promote CAPTRA.
    • Collaborate with external partners to create mutually beneficial relationships that enhance the program's visibility and reach.

    Participant Recruitment:

    • Develop and implement a participant recruitment strategy to attract recent graduates and young professionals to the CAPTRA program.
    • Utilize various channels, including social media, events, and partnerships, to effectively market the program and generate interest among potential participants.

    Business Development:

    • Drive business development efforts by exploring new avenues for program expansion and identifying opportunities for growth.
    • Conduct market research to stay informed about industry trends, competitor activities, and potential areas for program enhancement.

    Networking and Outreach:

    • Represent the organization at industry events, conferences, and networking opportunities to promote CAPTRA and establish connections with potential participants and collaborators.
    • Conduct outreach activities to engage with target audiences and build a strong community around the CAPTRA program.
    • Collaboration with Internal Teams:
    • Work closely with the CAPTRA team, including program coordinators and instructors, to align business development strategies with program objectives and ensure a cohesive approach.
    • Provide insights and feedback to enhance the overall effectiveness and impact of the program.

    Niche Talent Management (NTM):
    Client Sourcing & Engagement:

    • Engage with organizations seeking to address talent gaps across various industries.
    • Liaise with industry leaders, HR managers, heads of agencies and those in the helm of affairs to keep track of their talent needs.
    • Initiate communication with these organizations through methods such as cold calls, emails, and other channels.

    Market Expansion:

    • Drive business development efforts to expand our services beyond the development sector, adapting to the evolving needs of clients in various industries.
    • Conduct market research to identify opportunities for growth and position the NTM service as a valuable solution.

    Customized Recruitment Solutions:

    • Collaborate with clients to understand their unique talent requirements and provide customized recruitment solutions.
    • Leverage our curated database to connect organizations with top talent efficiently and with remarkable speed.

    Program Coordination:
    Cooperate outreach:

    • Identify and engage with organizations that could benefit from our Program Coordination services.
    • Use various channels such as networking events, social media, and direct communication to reach potential clients.
    • Present the benefits and features of our Program Coordination services to potential clients.

    Client Relationship Management:

    • Develop and maintain strong relationships with corporate clients.
    • Understand clients’ specific needs and customize our services to meet their requirements.
    • Ensure high client satisfaction by providing excellent service and support.

    Market Analysis and Strategy:

    • Conduct market research to identify trends and opportunities within the program coordination space.
    • Develop strategies to effectively position our Program Coordination services in the market.
    • Analyze competitors and adjust our approach to stay ahead.

    Partnership Building:

    • Identify potential partners and collaborators to enhance our Program Coordination services.
    • Establish and nurture relationships with educational institutions, industry associations, and other relevant entities.

    Proposal Development and Presentation:

    • Prepare and present proposals to prospective clients.
    • Tailor proposals to address the specific needs and goals of each client.

    Duty Station:

    • The role is in Talent Lab’s Head Office but will require client calls in and outside the FCT.

    Required Competencies:

    Required Education and experience

    • Bachelor’s degree in marketing, sales, business development, business management or a closely related field.
    • 3- 5 years experience in business development, partnership building, sales or similar roles.
    • Strong networking and relationship-building skills.
    • Excellent communication and presentation skills.
    • Familiarity with the education and professional development landscape is a plus.
